Job Overview
">We are seeking a highly skilled and organized Administrative Coordinator to join our team at PT Kavana Karya Indonesia. As an Administrative Coordinator, you will provide administrative support to the Director, maintaining their calendar, coordinating meetings, and handling correspondence.
Responsibilities

- Schedule Management: Maintain the Director's calendar, ensuring efficient use of time and preparation for engagements.
- Communication Management: Act as the primary point of contact, screening phone calls, emails, and correspondence, and drafting responses when necessary.
- Travel Arrangements: Book flights, hotels, transportation, and accommodations for business trips and personal travel, aligning with the Director's preferences and schedule.
- Meeting Coordination: Organize internal and external meetings, scheduling, sending invitations, preparing agendas, and arranging resources.
- Document Management: Assist with document preparation, formatting reports, presentations, and other materials, maintaining organized files.
- Administrative Support: Provide general administrative support, managing expenses, processing invoices, and handling day-to-day tasks.
- Project Assistance: Assist the Director with various projects, conducting research, gathering information, preparing materials, and providing logistical support.
- Confidentiality and Discretion: Exercise discretion and maintain confidentiality regarding sensitive information and discussions.
- Relationship Management: Build and maintain positive relationships with stakeholders, representing the Director professionally and effectively in all interactions.
- Flexibility and Adaptability: Be flexible and adaptable to changing priorities and demands, prioritizing effectively and handling unexpected challenges with poise and efficiency.

- Involved in operational activities such as field visits, direct interrogation to obtain actual and reliable information.
- Analyze situations, conditions, and data, providing conclusions to facilitate decision-making.
- Provide adequate and easy-to-review reports by the Board of Directors.
- Able to coordinate with various levels of positions as liaison officer (internal and external), if needed.
- Inspect the field and coordinate effectively, communicating to the Board of Directors for implementation.
Requirements

- At least Diploma of secretary or equivalent.
- 5+ years as Secretary/Assistant to Director.
- Integrity, loyalty, and discrete personality.
- Teamwork and service orientation.
- Self-motivated and self-starter/initiative.
- High degree of availability.
- Experienced with minute taking and management of the office.
- Excellent computer skills (Microsoft Office) and follow technological developments to support BODs.
- Knowledge of corporate governance and compliance.
- Ability to deal with necessary technical equipment (laptops, projector, etc.).
