The Senior Administrative Coordinator will provide high-level administrative support to the Board of Directors, ensuring the smooth operation of Board activities.
This role requires excellent organizational, communication, and interpersonal skills, along with the ability to work closely with senior executives and Board members.
Key Responsibilities:
- Organize and schedule Board meetings, including preparing agendas, gathering materials, and distributing them in advance.
- Take accurate minutes during Board meetings and ensure the proper documentation of decisions and actions taken.
- Ensure that all Board meetings comply with relevant corporate governance rules and regulations.
- Serve as the primary point of contact between the Board of Directors and company executives or stakeholders.
- Manage and facilitate communication between the Board and senior management, ensuring timely and clear information flow.
- Maintain and organize Board records, including minutes, resolutions, reports, and other relevant documents.
- Ensure the confidentiality of sensitive Board documents and company information.
- Coordinate travel arrangements, accommodations, and other logistical details for Board members as needed.
- Prepare reports, presentations, and other materials for Board meetings.
Requirements:
- Bachelor's degree in Business Administration, Management, or related field.
- Minimum 5 years of experience in a similar administrative or executive support role, specifically handling Board of Directors (BOD) activities.
- Experience supporting a Board of Directors in a senior capacity is required.
- Experience in a corporate governance setting is preferred.
- Proficiency in office software (Microsoft Office Suite, email systems, etc.).
- Strong organizational and time-management skills.
- Knowledge of corporate governance principles, legal compliance, and Board functions.
- Strong written and verbal communication skills.
- Ability to handle confidential information with discretion and professionalism.
- Excellent attention to detail and accuracy.
- Ability to work independently and prioritize tasks effectively.
- High-level interpersonal skills and ability to work with senior executives and external stakeholders.
- Proficient in English, both written and spoken, with the ability to communicate clearly and professionally with Board members and other stakeholders.
- Must be proactive, highly organized, and capable of managing multiple tasks and deadlines.
- Ability to adapt to a fast-paced and changing work environment.
- Discretion and a strong sense of professionalism in dealing with Board members and stakeholders.
