Internal Assistant Project Manager

Our client, an innovative artist management company located in Ubud, Bali, dedicated to elevating the creative journey of contemporary fine art artists is looking for an Internal Assistant Project Manager to join their team immediately.
**Requirements**:
- Preferably a Diploma or Bachelor's Degree in Business Administration or a related field.
- Minimal 3-5 years of experience in a similar administrative role, preferably in a professional services or office environment.
- Have own phone and mode of transport (including a valid driving license)
- Proficiency in Google Suite (Google Sheets, Docs, Drive) and Microsoft Office Suite (Excel, Word).
- Familiarity with project management software and accounting tools (XEROX) is a plus.
- Excellent organisational skills with a keen attention to detail.
- Strong communication and interpersonal abilities.
- Ability to handle confidential information with discretion and professionalism.
- Comfortable working in a fast-paced environment and managing multiple tasks simultaneously.
- Fluent in Bahasa Indonesia and English (both spoken and written).
**Responsibilities**:
- Maintain and update Google Sheets, Excel files, and project tracking tools.
- Record and organise key project details, financial data, and relevant documentation.
- Ensure proper filing of all reports and documents in digital and physical formats.
- Keep databases accurate, organised, and secure.
- Coordinate internal meetings and appointments for project managers, directors, and accountants.
- Ensure clear communication and follow-ups between different teams and departments.
- Assist with financial tasks such as tracking budgets, processing invoices, and organising financial documents.
- Update progress reports and summaries for ongoing projects to keep stakeholders informed.
- Facilitate the submission of expense reports and other financial records.
- Oversee logistics for various projects, ensuring all resources, equipment, and materials are efficiently managed and transported.
- Plan and organise travel arrangements for the team and personally for the Management, including flights, hotels, local transportation, and expenses management.
- Ensure all office supplies and resources are available and manage procurement when needed.
- Support the preparation and submission of reports, contracts, and proposals.
- Help manage logistics such as travel arrangements for the team when required.
