Overview

The Purchasing Manager is responsible for sourcing, selecting, and negotiating with suppliers to ensure the restaurant receives high-quality products at competitive prices. This role manages purchasing processes, stock levels, and vendor relations to support smooth kitchen, bar, and operational needs.


Key Responsibilities
1. Procurement & Sourcing
  • Source and evaluate suppliers for food, beverages, consumables, and operational materials.
  • Negotiate pricing, quality standards, delivery schedules, and payment terms.
  • Ensure all purchased goods meet the restaurant's quality and safety standards.
2. Inventory Management
  • Monitor stock levels of kitchen and bar items to avoid shortages or overstocking.
  • Coordinate closely with the kitchen team for daily and weekly ordering needs.
  • Implement proper purchasing cycles and maintain accurate records.
3. Cost Control
  • Work with the Executive Chef and Accounting to manage food cost, beverage cost, and overall purchasing budgets.
  • Analyze pricing trends, negotiate better deals, and reduce wastage.
  • Ensure purchases support cost-efficiency without compromising quality.
4. Supplier Relationship Management
  • Maintain strong relationships with existing vendors and identify new potential suppliers.
  • Evaluate vendor performance based on price, quality, consistency, and reliability.
  • Handle issues related to delays, quality discrepancies, or supply problems.
5. Compliance & Documentation
  • Ensure all purchase orders, invoices, and documents are processed accurately and on time.
  • Maintain compliance with company SOPs, food safety standards, and financial procedures.
  • Conduct regular audits of purchasing processes and supplier contracts.
6. Internal Coordination
  • Work closely with the Executive Chef, Bar Supervisor, Operational Manager, and Accounting team.
  • Support menu changes, promos, and operational needs with timely procurement.
  • Provide accurate weekly reports on purchasing activities and cost updates.
GENERAL REQUIREMENTS
  • Minimum 5 years of professional experience, including at least 2 years in a supervisory or managerial capacity, preferably within F&B, restaurant operations, or hospitality.
  • Proven track record in a similar role, with strong understanding of restaurant workflows, kitchen operations, costing, stock control, procurement, and service standards.
  • Strong leadership, problem-solving, and decision-making abilities.
  • Excellent communication skills in English, both spoken and written.
  • High level of professionalism, integrity, and strong work ethics.
  • Detail-oriented, proactive, and able to collaborate effectively across departments.
  • Able to perform well under pressure while maintaining service excellence.
  • Positive attitude, adaptability, and strong interpersonal skills.
