Key Responsibilities


• Office & Administration

  - Ensure smooth operation of the office (supplies, tools, utilities, documentation)

  - Organize team meetings, note-taking, and meeting follow-ups

  - Maintain company calendar, contact directories, and communication logs


• Document Control & Legal Follow-Up

  - Coordinate with notaries for company deeds, legal updates, POAs, and SPAs

  - Oversee proper documentation for land acquisitions, villa contracts, NDAs

  - Organize and monitor KITAS and expatriate permit processes with agents

  - Manage brand registrations (IPR, HAKI)


• Operational Support & Project Coordination

  - Follow-up on the progression of key construction and architecture documents

  - Liaise with project managers to support administrative and client updates

  - Prepare supporting documents and logistics for villa handovers

  - Supervise contracts and ensure proper filing, versioning, and archiving


• Finance & Accounting Support

  - Coordinate with accountants and the CEO to consolidate reports and receipts

  - Follow up on taxes (VAT, PPh) with accountant and input invoices in Drive

  - Help check invoices from vendors and service providers before approval


• Communications

  - Draft or format official communication when needed (emails, letters, memos)

  - Support preparation of presentations, proposals, and visual admin materials

Priority Tasks


• Manage company documents and ensure internal coordination between teams

• Monitor key legal, tax, and compliance deadlines (contracts, KITAS, taxes)

• Act as an executive assistant when required: follow-up on instructions, anticipate needs
