Job Summary:

The Administrative Assistant is responsible for managing incoming leads, handling CRM processes, and supporting the sales team with lead qualification and follow-ups. This role ensures that leads are properly categorized, communication is clear, and client interactions are professional. Additionally, the assistant provides administrative support to the Head of PM Sales and ensures effective coordination between the sales team and clients.

Key Responsibilities :

CRM Management & Lead Qualification:

  • Open Amo CRM daily to review incoming leads and handle all inquiries that have requested WhatsApp communication.
  • Send predefined qualifying templates to new leads and move them to the "Replied" stage.
  • Review leads in the "Replied" stage, qualifying them if they provide necessary details and moving them to the "Qualified" stage.
  • Send follow-up templates to stimulate conversations with leads lacking necessary qualification data.

Lead Communication & Follow-Up:

  • Call all leads in the "On Call" funnel, introducing the company professionally and explaining the purpose of the call clearly.
  • Check inbox for any unanswered leads, respond appropriately, and take actions to move them toward qualification.
  • Perform follow-up calls to leads in the "FollowUp" and "Last FollowUp" stages, updating their status based on the outcome of the call.

Support to the Head of PM Sales:

  • Assist the Head of PM Sales in day-to-day tasks, including scheduling meetings, preparing documents, and handling correspondence.
  • Provide regular updates on lead status, ensuring all client interactions are recorded and monitored through the CRM system.
  • Manage administrative tasks such as answering calls, filing performance reports, and ensuring smooth communication across the sales team.

Sales Team Coordination:

  • Coordinate with the sales team on lead progress and provide information on qualified leads for follow-up.
  • Ensure smooth handover of qualified leads to the sales team for further engagement and deal closure.

Lead Database Management:

  • Maintain the lead database within the CRM system, ensuring all interactions are recorded and leads are appropriately categorized based on their stage in the sales funnel.
  • Regularly update the CRM with new information provided by clients or gathered through interactions.

Performance Reporting:

  • Assist in the preparation of weekly and monthly performance reports, tracking lead conversion rates and CRM activities.
  • Provide insights and suggestions on improving lead qualification processes based on CRM data.

Qualifications required:

  • Experience with CRM systems, particularly lead management and qualification processes.
  • Strong communication and organizational skills, with attention to detail in managing client interactions and data.
  • Ability to multitask and handle follow-ups, calls, and administrative support efficiently in a fast-paced sales environment.
