Personal Assistant – Women's Online Fashion Label

Are you a talented individual with solid experience in the Fashion Industry? One of Bali's leading online fashion brands creating versatile women's clothing for every occasion and season is looking for a Personal Assistant to join their team immediately.

The ideal candidate has strong administrative and financial skills, is detail-oriented, and enjoys supporting creative and dynamic environments. A background in fashion or garment production is highly desirable. This is a multifaceted role that requires flexibility, initiative, and a problem-solving mindset.

Requirements :

• Open for local candidates.
• Minimum two years of experience as a Personal Assistant to a Director or CEO of a large company. At least one year of experience in administrative roles, experience in a Western company is preferred.
• Preferably has worked in a garment production or fashion-related company.
• Strong eye for detail, works in a structured and organised manner.
• Comfortable communicating with both internal teams and external partners, including across time zones.
• Strong numerical skills and financial acumen, able to process and control financial documents.
• Excellent written and spoken English.
• Strong proficiency in Microsoft Office, especially Excel, familiarity with Shopify or similar inventory/ordering systems.
• Good knowledge of Excel (e.g., managing databases, inventory tracking, and budgets).
• Passionate about sustainability and aligned with the brand's values.
• Independent, self-motivated, and confident in contributing ideas for improvement.
• Excellent organisational and time management skills, able to manage multiple priorities effectively.
• High attention to detail, accuracy, and consistency in all tasks.
• Strong interpersonal and communication skills, both verbal and written.
• Good numerical ability and analytical skills.
• Ability to work in a fast-paced environment with shifting priorities and adapt quickly to changes.
• Proactive, eager to learn, and passionate about supporting overall business operations.
• Able to work autonomously while maintaining strong collaboration with wider teams.
• Professional presentation and confident communication style.
• Working arrangement Monday - Saturday.
• Reliable, flexible, and comfortable managing confidential information.

Responsibilities

• Support the Directors with daily operations, task prioritisation, and ongoing project management.
• Provide day-to-day support including scheduling meetings, calendar management, and task coordination.
• Manage communication with suppliers, production teams, staff, and external stakeholders.
• Coordinate with creative teams for product development and branding support.
• Collate and compile seasonal sales data for production planning.
• Provide administrative and operational support to the Office and Factory Managers, including supplier follow-ups.
• Support major accounts through sales order entry, shipment tracking, delivery coordination, and sample management.
• Liaise closely with the Production Team to ensure timelines and outputs are met.
• Assist in managing the daily operations and workflow of the office and factory teams.
• Review, sort, and respond to incoming emails, redirect communications as appropriate.
• Identify urgent matters, prioritise tasks, and ensure timely follow-up.
• Communicate product drop dates and coordinate stock delivery deadlines across teams.
• Work with the Accounts Team to follow up on outstanding payments.
• Handle adhoc tasks across multiple business units under the brand.
• Coordinate with PR and Marketing teams where required.
• Assist the Online Team with administrative and operational tasks.
• Support the business during busier periods, including occasional work outside core hours.
