**Position summary & job purpose**:
We are seeking an experienced Administration and Logistics Officer to be responsible for providing general administrative support, logistics, and event management to all SINAR team members. This position reports to the Human Resources and General Administration (HRGA) Manager. Learn more about the SINAR project here.
**Position responsibilities**:
**General Administration**
- Plan, prioritize, and implement activities related to office administrative needs.
- Maintain updates and accurate administrative records and reports including an organized filing system.
- Maintain and update office inventory list including equipment release and return administration.
- Assist in checking invoice documentation for compliance in preparation for payment for all SINAR consultants, sending invoice reminder, collecting documents, record, and track accruals.
**Logistical Support**
- Assist in logístical planning and execution across all objectives in coordination with strategic program team.
- Coordinate with procurement team for goods and services purchase required for staff and office maintenance.
- Provide logístical support to all SINAR teams for any events such as workshops, seminars, meetings, FGDs, site visit, etc. including document and/or material productions and shipment.
- Oversee office supply needs (i.e., stationeries, pantry, and any other necessary equipment and/or tools for daily office operation).
**Travel, Event and Transport Management**
- Provide support in events preparation in coordination with technical team and oversee all administration details including hotel reservation, pick-up service, ground transportation arrangement (Taxi, train), and others, as necessary.
- Organize domestic and international travel arrangements for all SINAR teams including travel for Short-Term Technical Assistance (STTA).
- Processing the Travel Approval Requisition (TAR) from all staff for any business travel purposes.
**Essential KSAs required (experience, skills, education, certification, etc.)**:
- Bachelor’s degree in business management, development, or related fields.
- 5 years’ experience in event planning and management
- Experience working in inter-cultural teams and environments.
- Ability to manage work on time in a tight schedule.
- Excellent interpersonal skills, insightful, and communicative.
- Proficiency in Microsoft Office Programs (Excel is required).
- Demonstrated flexibility and capable of managing a variety of tasks with mínimal supervision.
**Valued but not required KSAs**:
- Indonesian national
- Familiarity with USAID procedures and practices for quality control, including monitoring.
**Physical demands & work environment**:
- Office setting, domestic travel
