Job Description

We are seeking a highly organized, discreet, and proactive Secretary to the CEO to support daily executive, administrative, and coordination needs. This position required to have strong communication skills, professionalism, and the ability to manage cross-border arrangements.

Responsibilities

  • Manage the CEO's daily calendar, appointments, and meeting schedules
  • Arrange domestic and international travel (flights, hotels, visas, itineraries)
  • Coordinate meetings with internal teams, regional offices, and external stakeholders
  • Handle communication (emails, calls, messages) in Bahasa Indonesia and English
  • Prepare meeting agendas, presentations, documents, and minutes
  • Ensure follow-up on action items and timely completion of tasks
  • Maintain and organize confidential files, records, and company documents
  • Support CEO in project coordination, report preparation, and basic research
  • Assist in event and business trip logistics
  • Handle expense reports and reimbursements
  • Perform general administrative duties to ensure smooth day-to-day operations

Requirements

  • Minimum Bachelor's Degree (Administration, Communication, Secretary, Business, or related fields preferred)
  • 2-3 years of experience as Secretary, Executive Assistant, and Personal Assistant
  • Fluent in English (spoken & written); Mandarin is a plus
  • Strong experience in international travel arrangement (flights, hotels, visa application, itinerary planning)
  • Excellent organizational and time-management skills
  • Strong attention to detail and ability to handle multiple priorities
  • Professional, discreet, and able to maintain confidentiality
  • Strong interpersonal skills and comfortable interacting with senior-level stakeholders
  • Proficient in Microsoft Office (Word, Excel, PowerPoint) and digital communication tools
  • Ability to work independently, anticipate needs, and follow through
  • Willing to work beyond standard office hours when needed
  • Well-groomed and professional appearance

Preferred Qualifications (Nice to Have)

  • Prior experience supporting C-level executives
  • Familiarity with multinational or cross-cultural environments
  • Strong coordination and follow-through skills
  • Experience handling travel for expatriate or foreign leaders
