SCOPE OF ROLE:

This position is accountable for supporting Regional Procurement Manager and be outlet representative in procurement of goods and services through obtaining competitive quotes from reliable suppliers, coordinating with suppliers and respective user departments as well as negotiating the best offer to maximize the best advantage of the company.

RESPONSIBILITIES:

  • Manage and process project-based purchase requisitions, including performing goods receiving for both F&B and non-F&B items.
  • Ensure efficient end-to-end procurement operations, covering Food & Beverage supplies, market list items, inventory goods, and other required materials.
  • Review and approve Purchase Requests (PR) and Purchase Orders (PO) in accordance with par stock levels, inventory policies, and company guidelines.
  • Prepare and maintain complete purchasing documentation, including price comparisons, vendor quotations, and regular market price surveys.
  • Coordinate closely with user departments and suppliers to ensure product specifications meet operational requirements and service standards.
  • Conduct supplier meetings and interviews (as directed by the Procurement Manager) to obtain product information, technical specifications, competitive pricing, and to support negotiation activities for the Group's best interest.
  • Maintain, update, and organize the master item list and vendor list to ensure accuracy and operational efficiency.
  • Monitor and follow up on outstanding orders to ensure timely delivery of all required products according to deadlines.
  • Manage and organize catalogues, product samples, and supplier price lists for easy reference and quality control.
  • Track and evaluate supplier performance, including delivery accuracy, product quality, and service responsiveness.
  • Prepare weekly and monthly Accounts Payable (AP) reports for the Finance Team and Regional Manager.
  • Coordinate supplier invoice processing with the Finance Department to ensure accuracy and timely payment.
  • Oversee store and receiving operations, ensuring compliance with SOPs, cleanliness, proper storage, and product handling.
  • Perform any other ad hoc tasks or responsibilities assigned by the Procurement Manager or management.

REQUIREMENTS:

  • Certified, Diploma or above in Purchasing, Supply Chain or related disciplines.
  • Minimum 3 years procurement experience gained from the preferably in F&B and Hospitality industry.
  • Strong negotiation skills with excellent communication, interpersonal and problem-solving abilities.
  • Proficient in ERP system, preferably know well with AOL Accurate system.
  • Experience in inventory control and cost management is an advantage.
  • Good command of spoken and written English.
  • Proficient in MS application such as Excel, Word, and PowerPoint.
