Academic Administration Officer

The Academic Administration Officer plays a vital role in supporting the smooth operation of academic and administrative processes across both school campuses. This position is responsible for maintaining accurate student data, managing academic records, and ensuring compliance with educational reporting systems such as Dapodik.
The officer serves as a key link between the academic team, administration, and external education authorities, ensuring all documentation and processes are completed efficiently and in accordance with school policies. Working collaboratively with both campuses, this role ensures consistency and accuracy in academic administration.
Qualifications & Experience
●Bachelor's degree in Education, Administration, Management, or a related field.
●Minimum 2–3 years of experience in academic or school administration, preferably in an international or bilingual school environment. Candidates with no experience are welcome to apply
●Familiarity with Dapodik and other educational reporting systems is highly preferred.
●Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and Google Workspace (Docs, Sheets, Drive).
●Experience with school management systems or academic databases is preferable.
●Strong data management, documentation, and record-keeping skills.
●Excellent written and verbal communication in Bahasa Indonesia and English.
●Strong attention to detail, accuracy, and organizational skills.
●Proactive, reliable, and able to work independently or collaboratively in a team.
●High level of integrity and confidentiality in handling academic and student information.
●Professional demeanor and commitment to supporting the school's educational mission.
Duties & Responsibilities
1.Academic Administration
- Manage and maintain accurate student academic records and databases for both campuses.
- Support the registration, enrolment, and withdrawal processes in coordination with Admissions and the Academic Office.
- Prepare and update class lists, student attendance reports, and academic schedules.
- Assist in the preparation and distribution of academic documents such as report cards, transcripts, and certificates.
- Ensure consistency and accuracy in academic data management across both campuses.
Coordinate with Heads of School, teachers, and administrative teams to support academic events and activities.
Dapodik and Regulatory Compliance
Handle and update Dapodik (Data Pokok Pendidikan) entries accurately and in a timely manner for both campuses.
- Ensure compliance with national education regulations and reporting requirements.
- Liaise with local education authorities regarding academic data submission and verification.
Maintain organized records and supporting documentation for audits or government reviews.
Communication and Coordination
Serve as a point of contact between academic departments, administration, and government institutions.
- Communicate important academic information to relevant staff, students, and parents as needed.
- Collaborate closely with staff from both campuses to align academic procedures and standards.
Provide administrative support during academic events, examinations, and school meetings.
Data Management and Reporting
Maintain secure and updated digital and physical academic records.
- Generate reports on enrolment, student progress, attendance, and other academic data as requested.
Assist in compiling data for school accreditation, inspections, and internal evaluations.
General Administrative Support
Support the Academic and Administrative teams with document management and filing.
- Assist in the preparation of school correspondences, letters, and official reports.
- Perform other administrative duties as assigned by the management or Academic Coordinator.
