Job Description – Front Office Department
Position: Front Office Staff / Receptionist
Department: Front Office
Reports to: Front Office Supervisor / Front Office Manager
Main Duties and Responsibilities:
Guest Reception & Check-in/Check-out
Welcome guests warmly and professionally upon arrival.
- Handle check-in and check-out procedures efficiently.
- Verify guest details and manage room assignments.
- Provide room keys and explain hotel facilities and policies.
Reservation Handling
Receive and confirm room bookings via phone, email, or online platforms.
- Update reservation systems accurately.
- Handle cancellations and modifications as per hotel policy.
Guest Relations
Maintain a friendly and professional attitude toward guests at all times.
- Handle guest complaints and requests efficiently and courteously.
- Provide information about hotel facilities, local attractions, and transportation.
Communication & Coordination
Coordinate with Housekeeping and Engineering for room status updates.
- Communicate guest needs and preferences to relevant departments.
- Ensure smooth communication between departments for excellent guest service.
Cashiering & Billing
Prepare guest bills and process payments (cash, credit card, or transfer).
- Maintain accurate records of transactions and deposits.
- Ensure the cash float is balanced at the end of each shift.
Administration & Reporting
Maintain daily front office logbook and reports.
- Update guest information and maintain confidentiality of records.
- Prepare occupancy reports and other related documentation.
Appearance & Conduct
Maintain proper grooming and uniform standards.
- Follow hotel policies, procedures, and service standards.
- Attend daily briefings and required training sessions.
Requirements:
- Minimum high school or diploma in hospitality or related field.
- Good communication in English (verbal and written).
- Friendly, patient, and service-oriented.
- Able to work in shifts, including weekends and holidays.
- Basic computer and reservation system knowledge.
