General Administration and Support Coordinator

Position Overview:
- The General Admin & Support Coordinator plays a key role in supporting the daily operations of a new and developing international-standard primary school.
- This is a start-up role, meaning the successful candidate will take on a wide range of responsibilities to help establish efficient systems and procedures.
- As the school grows, the role will evolve, and additional administrative functions will be introduced to support the increasing volume of work.
- The position ensures smooth day-to-day operations, effective communication with families, and a welcoming environment for students and visitors. It also involves close coordination with the SBI Learning Resort team to provide excellent service for both local and international families.
Qualifications & Experience:
- Already reside in Bali (preferred) or willing to relocate at own cost.
- Indonesian citizenship (this role is open for local candidate only).
- Native Bahasa Indonesia speaker with strong communicative English skills (spoken and written).
- Diploma or relevant education background preferred, but not required to be in a specific field.
- Experience in a formal school environment is an advantage.
- Excellent communication and interpersonal skills.
- Confident with Microsoft Office, Google Workspace, and social media platforms.

Key Responsibilities:
1. General Administration
- Maintain a well-organised and efficient school office.
- Handle incoming calls, emails, and visitor enquiries in a friendly and professional manner.
- Follow up on enquiries and provide updates to parents regarding admissions, schedules, and school activities.
- Prepare school invoices and assist with basic finance administration.
- Maintain accurate student and staff records, ensuring data confidentiality and compliance with school policy.
- Coordinate with the HR Manager to update and maintain accurate staff data records.
- Prepare letters, reports, and general correspondence as required.
- Manage office supplies and coordinate procurement needs.
2. Front Desk & Parent Relations
- Present professionally at the front desk, welcoming parents, visitors, and students with warmth and courtesy.
- Assist with student attendance tracking and documentation.
- Communicate clearly with parents regarding notices, schedules, and school events.
- Maintain positive relationships with families and the wider school community.
3. Academic & Event Coordination
- Support teachers with classroom resources, printing, and administrative needs.
- Assist in organising school events, assemblies, excursions, and extracurricular activities.
- Prepare logistics, schedules, and communication for school and community functions.
4. Operations & Facilities Support
- Liaise with maintenance, housekeeping, and catering teams to ensure a safe and well-presented school environment.
- Report and follow up on facility and safety matters.
- Support health, safety, and visitor protocols, including first aid and emergency preparedness.
5. Communication & Media
- Manage basic school social media posts and updates under the guidance of the School Manager.
- Prepare short announcements, event photos, and updates for the school's online channels.
- Coordinate internal communication between staff and departments.
- Contribute to newsletters and community updates.
6. Coordination with SBI Learning Resort & Visa Team
- Coordinate with SBI Learning Resort teams on international student and family matters.
- Coordinate with the SBI Visa Team for inbound international students to ensure smooth visa processing and documentation.
- Share schedules and event information to ensure smooth collaboration between both institutions.
- Support joint school and resort community activities as required.
