Job Summary

The
E-Commerce & Reservations Executive
is responsible for managing all reservation channels and optimizing online distribution performance to support room revenue growth. This role combines operational reservation handling with analytical and strategic thinking to ensure optimal rates, availability, and guest conversion across OTAs, direct bookings, and travel agent channels.

The ideal candidate is a hotelier with a strong Sales & Marketing background, experienced in OTA management, guest communication, and performance-driven decision making.

Key Responsibilities

  • Reservation Management (VHP Cloud System)

Manage and maintain accurate reservation data to ensure smooth booking operations and coordination with internal teams.

Main Tasks:

  • Input, modify, and confirm all reservations in VHP Cloud PMS accurately.
  • Reconcile OTA, direct, website, and travel agent bookings on a daily basis.
  • Monitor room inventory, allotments, stop-sell dates, and prevent overbooking.
  • Maintain complete and updated guest profiles, preferences, and booking history.
  • Generate daily arrival, in-house, and departure reports for operational teams.

  • OTAs and Chanel Management

Oversee online distribution channels to maximize visibility, conversion, and booking performance.

Main Tasks:

  • Update rates, availability, and restrictions daily on all OTA extranets.
  • Ensure rate parity between OTAs, direct booking channels, and the official website.
  • Manage inventory distribution through the channel manager.
  • Monitor OTA performance dashboards (conversion rate, ranking, visibility, and reviews).
  • Support the setup and execution of OTA promotions such as Flash Deals, Packages, and Campaigns.

  • Rates Strategy & Booking Optimization

Support room revenue growth through data analysis, pricing strategy, and booking behavior monitoring.

Main Tasks:

  • Analyze weekly occupancy, pickup trends, and competitor pricing.
  • Recommend rate adjustments based on seasonality, demand, and market behavior.
  • Implement tactical promotions (long-stay, last-minute, early bird, and direct booking offers).
  • Track booking trends, ADR, lead time, and channel contribution for forecasting and planning.
  • Provide insights to management to support strategic sales and marketing decisions.

  • Guest & Communication & Coordination

Deliver responsive, accurate, and personalized communication to enhance guest experience and conversion.

Main Tasks:

  • Respond promptly to guest inquiries via email, WhatsApp, phone, and OTA messaging platforms.
  • Send pre-arrival communications and proactively upsell additional services.
  • Coordinate closely with Front Office, Concierge, Housekeeping, and Operations teams.
  • Arrange airport transfers, activities, special occasions, and guest requests.
  • Collect guest feedback and support post-stay follow-up to ensure satisfaction.

Qualifications & Requirements

  • Background in
    Sales & Marketing within the hotel or hospitality industry
    (Hotelier profile preferred).
  • Proven experience handling
    OTAs, Direct Booking, and Travel Agents
    (online and offline).
  • Strong knowledge of
    hotel reservation systems
    ; experience with
    VHP Cloud PMS
    is a strong advantage.
  • Solid understanding of
    reservation management, room inventory control, and distribution channels
    .
  • Ability to analyze booking data, occupancy trends, ADR, lead time, and channel performance to support pricing and booking decisions.
  • Demonstrated capability in
    OTA performance monitoring, rate parity management, and channel optimization
    .
  • Strategic and analytical mindset with the ability to recommend pricing adjustments and promotional tactics.
  • Excellent
    guest communication and service orientation
    , with experience handling inquiries and special requests.
  • Strong coordination skills to work effectively with Front Office, Concierge, Housekeeping, and Sales & Marketing teams.
  • Detail-oriented, well-organized, and able to manage multiple booking channels simultaneously.
  • Proactive, adaptable, and results-driven with a focus on maximizing bookings and guest satisfaction.
