We are looking for a professional and well organized individual to join our team as a Secretary (4 Month Contract) to support operations during a maternity leave replacement, based in Jakarta.
RESPONSIBILITY:
- Maintaining executive's agenda and assists in planning appointments, board meetings, conferences, etc.
- Becoming point of collection for documents to be reviewed and signed by Executive Board and ensuring they are completed according to deadline.
- Handling confidential documents and ensuring they remain secure.
- Carrying out administrative duties around processing travel and expense reports for Executive Board.
- Answering calls, taking messages and handling correspondence.
- Attending meetings and taking minutes.
- Preparing presentations or reports as assigned.
- Coordinating travel and logistics arrangements for office personnel, both domestically and internationally.
- Meeting and greeting visitors and VIPs at all levels of seniority and providing general assistance during visits and meetings (meeting agenda, rooms, lunches, etc).
- Plans, organizes, coordinates, and supports events and workshops as required.
- Maintaining good communication flow with IDH in the Netherlands.
- Responsible for petty cash.
- Responsible for office management
QUALIFICATION:
- Possessing at least a Diploma degree in Secretary major.
- Minimum 1 year experience in the related field.
- Knowledge of project and stakeholder management is preferred.
- Knowledge of sustainability issues in the commodities and landscape sectors is preferred.
- Ability to make the necessary report, correspondence/documentations and follow confidentiality guidelines.
- Ability to maintain an accurate calendar and make travel plans.
- High level of proficiency with Microsoft Office.
