Role Description
You will manage the end-to-end process of General Affairs and Procurement, ensuring efficiency and compliance:
General Affairs (GA):
- Facility Management: Coordinate maintenance for office facilities (AC, electrical, plumbing, etc) and handle Ad-hoc employee facility complaints.
- Operational Supervision: Conduct daily OB performance evaluations and verify OB overtime reports monthly (before the 15th).
- Administrative Oversight: Execute BOP Mess claim verification twice a month and maintain full document management for vendor contracts and facility reports.
- Escalation: Escalate unresolved facility issues or underperforming vendors to management.
Procurement:
- Full Cycle Execution: Manage the process from receiving Approved Purchase Requisition Forms (PRFs) to Purchase Order (PO) generation and order placement.
- Competitive Sourcing: For purchases above the internal threshold, the Procurement Officer (supported by this role) must obtain at least three (3) competitive quotes from qualified suppliers.
- Verification: Ensure final supplier invoices are verified against the PO and collaborate on completing the Goods Received Note (GRN).
- Record Keeping: Maintain accurate physical and electronic records of all procurement documentation (PRFs, quotes, POs, GRNs, invoices, correspondence).
Mandatory Qualifications (Strict Screening Criteria)
We will only process candidates who meet all the following criteria:
- Minimum 3-5 years of direct experience in General Affairs and/or Procurement, preferably within the Technology or FinTech sector.
- In-depth practical experience and strong knowledge of the full procurement cycle, including PRF, PO, GRN, and multi-quote sourcing (3+ quotes).
- Proven ability to manage vendor contracts and ensure strict administrative compliance for internal audits.
- Excellent organizational skills, proven experience in timely claim verification (twice monthly) , and adherence to periodic maintenance schedules (quarterly).
- Experience with coordinating Ad-hoc large-scale office events or renovations.
General Qualifications:
- Familiarity with office software and tools, such as Microsoft Office Suite and relevant administrative systems.
- Bachelor's degree in Business Administration, Office Management, or a related field is preferred.
