Position Overview

The Purchasing Officer is responsible for sourcing, negotiating, and procuring goods and services essential for the daily operations of the gym, spa, bar, and wellness facilities. This role plays a critical part in maintaining optimal inventory levels, ensuring cost-efficiency, and building strong relationships with suppliers to uphold the brand's premium standards. The ideal candidate is detail-oriented, strategic, and experienced in supply chain and procurement processes.


Primary Duties

1. Supplier Management

  • Identify, evaluate, and select suppliers based on cost, quality, reliability, service, and delivery timelines.
  • Build and maintain strong, professional relationships with vendors and service providers.
  • Monitor supplier performance and ensure compliance with contracts and service agreements.
  • Resolve any issues related to deliveries, quality, or service with vendors in a timely and effective manner.

2. Procurement Operations

  • Prepare and process purchase orders and requisitions for materials, consumables, and services required by various departments (gym, spa, housekeeping, bar, etc.).
  • Negotiate pricing, payment terms, and delivery schedules to optimize cost-efficiency and quality.
  • Collaborate with internal teams to ensure timely procurement based on operational needs and requests

3. Inventory Coordination

  • Work closely with inventory and warehouse teams to monitor stock levels and ensure the availability of essential items.
  • Forecast future purchasing needs based on sales trends, seasonal demands, and usage patterns.
  • Implement inventory control measures to prevent overstocking or shortages and reduce holding costs.

4. Data Management & Reporting

  • Maintain accurate records of purchasing activities, vendor contracts, invoices, and price lists using ERP or purchasing software.
  • Analyze purchasing trends, supplier performance, and cost data to identify opportunities for savings and process improvements.
  • Prepare regular reports for management on purchasing performance, spending, and procurement strategies.

5. Compliance & Documentation

  • Ensure that all procurement activities comply with internal policies and relevant regulations.
  • Maintain clear and complete documentation of contracts, agreements, and procurement transactions for auditing and reporting purposes.

  4. Respond to any changes in the department as dictated by the needs of the industry, company.
  5. To be flexible and extend job duties to carry out any other reasonable duties and responsibilities within the job capability as assigned, including redeployment to alternative departments/areas if required, to meet business demands and guest service needs.
  6. Attend training and meetings as/when required.
  7. Perform other reasonable job duties as requested by Supervisors.
