Key Responsibilities:
Job Pupose

Ensure that logistics, warehouse and fleet management are carried out precisely, on schedule, and in compliance with Global standards and tracking process through system; and planning and carrying out the delivery of goods in the most effective and efficient way to satisfy the demands of the national office, AP, and Project. Ensure the standard of vehicles that are ready for use, safety, and proper maintenance of motor vehicles, including the necessary insurance.

Promote excellent internal control environment and cost effectiveness and efficiencies for the organization.

Development and execution Logistic planning, forecasting, reporting for the national office; and its alignment with global standards and processes through various system, as well as the Indonesia’s statutory requirement.

Strategy Development & Planning
- Developing/provide the logistics, warehouse and fleet management business process in collaboration with the procurement manager and GS & Logistic Manager to facilitate the acquisition of items at the national office and AP/Project.
- Planning and organizing In order to guarantee prompt and effective delivery, the transportation of goods from suppliers and/or warehouses, including determining expeditions and routes.
- Ensure an integrated quarterly and annual planning process for the management of warehouse, logistic, fleet, in National Office, zonal/AP.
- Coordinate with Procurement to set up most effective supply chain through procurement planning process and logistic execution.

Resource Acquisition & Management/ Engagement/Project Management
- Coordinate closely with other departments to arrange the GS and logistics plan and service delivery
- Look for opportunity to build strong and strategic relation with External parties and Internal parties (NO/ National/Regional/Global) to leverage income generation.
- Facilitate and work closely with resource acquisition team providing the technical rigor and using evidence base for proposal development and project activities in the area of Logisitc, warehouse and Fleet.
- Coordinate to all grants, corporate and special funded projects have the technical support and capacity to meet the required and agreed disaster management standards.

Capacity Building/ Technical works
- Conduct capacity building plan and talent management strategy for NO and Zonal/AP team to enhance their technical and non-technical skills to support higher performance and career path
- Improving the capacity of the logistics team at the national office and AP/project in warehouse techniques and logistics management in accordance with global standards.
- Ensuring that drivers and employees in general understand fleet management and fleet safety by providing training that suits their needs.
- Provide technical support to staff in using the corporate system and understanding the information, data and reports for the delivery of good programs.
- Become SMEs for Cross-Functional Grant/Disaster Management Capacity Training for Warehouse & Logistic aspect
- Coordinate the assessment and capacity building plan for local partners / Sub-Grantees in the area GS and logistics
- Provide technical advice for national team in developing logistic,warehouse and fleet plan, strategy and implementation

Accountability & Quality Assurance
- Manage effective and eficiency logistic, warehouse & fleet operation in WVI to align with partnership/donor/policies and standard.
- Ensure global asset verification of fleet in national office/AP/zone.
- Provide data management, tracking shipping, reporting, stock warehouse data and analytics data
- Utilise technology to enable agile planning, streamline processes and boost operational effectiveness across the WVI
- Ensure Logistic, warehouse, fleet activities for the emergency preparedness and response by coordinating with Disaster Management Team. Develop the roadmap for inventory access in disaster context.
- Accountable for supplying accurate, current, and reliable data to support the audit implementation process.
- Maintain and update risk mapping profiles for Logistic activities to minimize risk.
- Liaise and collaborate closely with Finance team, Procurement/SCM team, programme team and technical sector team
- Support teams of relevant WVI entities (Regional Office, Global Centre, Support Offices) on the business plan.
