Personal Assistant to Director

**DUTIES & RESPONSIBILITIES**:
- Managing and organizing the Director’s schedule, and scheduling meetings, appointments and events
- Making travel, accommodation and transport arrangements for the Director
- Taking dictation and meeting minutes, and following up action points
- Acting as the point of contact between the Director and internal or external parties
- Process Director communications and correspondence for key updates and inquiries
- Communicate in office with all levels of staff to ensure coordination
- Assist with special projects as required in a support capacity
- Preparing facilities for scheduled events and arranging refreshments, if required
- Ordering office supplies and replacements, as well as managing mail and courier services
- Entering data, maintaining databases, keeping records, and drafting correspondence
- Observing best business practices and etiquette
**SPECIFICATIONS**:
- Minimum of Diploma degree any major
- Proven work experience as a Personal Assistant or Secretary
- Excellent verbal and written communications skills
- Ability to handle multiple tasks while properly prioritizing urgent and high-impact work
- Ability to think proactively and show initiative
- Ability to exercise discretion with sensitive information, including client and employee data
- Proficiency in MS Word, Excel, PowerPoint, as well as scheduling software such as Google Calendar
- Self-starter personality and intellectual curiosity
- Strong problem-solving and project management ability
- Strong organizational, time management, and interpersonal skills
