Finance and General Admin Assistant

**Job brief**
We are a wholesale distribution / retail company looking for an **english speaking** Finance and General Admin professional to support our day-to-day operations. duties include but not limited to processing transactions, recording, and tracking expenses, coordinating logistics, general admin, personal assistants, and some customer services.
**Responsibilities**:
**General Administrative Duties**:
- Answer main phone line, assist with enquiries, direct calls
- Ensure office and store has adequate supplies including stationery & store supplies
- Collect and dispatch incoming and outgoing mail
- Organise meetings including catering and booking other facilities as
required
- Manage meeting spaces
- Manage the filing, storage, and security of documents
- Enter new staff details into system
- Liaise with Logistics, process logistic orders, stock count and stock take
- Data entry as required
- Maintain expense
**Customer Service Support**:
- Handle customer complaints
- Process customer refunds
- Process and dispatch phone and online customer orders
**Payroll**:
- Process daily sales envelopes including balancing personal sales, cash and credit receipts, expenses, and stock inventory
- Input data from daily sales envelopes
- Bank cash from envelopes
**Personal Assistance**:
- Provide administrative support to Senior Management when required
- Organise and co-ordinate corporate travel and accommodation
- Draft letters, reports or other documents as required
- Assist in ad hoc projects as required
**Other**:
- Always abide by company policies and procedures
- Develop and maintain reception manual including policies and procedures
- Other duties as required to ensure the smooth running of the office
**Key skills / competencies / experiences**
- Task oriented, organized with the ability to manage multiple tasks; flexible with a high degree of initiative, and ability to balance fluctuating workload.
- Organizational and time-management skills with the ability to prioritise and perform under pressure
- Attention to detail, with an ability to spot numerical errors
- Can pick up new things and adapt quickly.
- Able to work in team
- Good communication skill
- Have a good personality
- Absolute discretion when dealing with sensitive information
**Qualification**
- Minimum D3 in Finance, Accounting or Economic
- Work experience as a Finance Assistant, Finance Officer, or similar role
- Good knowledge of accounting and bookkeeping procedures
- Strong Microsoft Office skills (such as Word, Excel, and PowerPoint)
- Familiarity with accounting software (e.g., Xero)
- Familiarity with Masterpos software
- Advanced skills in English, both spoken and written
**Job Types**: Full-time, Contract
**Salary**: Rp4,000,000 - Rp6,000,000 per month
