Personal Assistant to Founder
Job Type : PKWTT (Permanent with 3 Months Probation)
Working Days : Monday - Friday
Working Time : WIB
Off Day : Saturday - Sunday, but standby online if needed
Office Location : Gading Serpong, Tangerang (Founder's House, Office, and Mobile)
Job Description :
To assist the Founder and family in running daily personal and business life smoothly, efficiently, and in an organized manner.
Acts as the bridge between household management, personal schedule, and light professional needs.
Responsibilities :
1) Household Management
- Supervise and schedule house staff (housekeepers, nanny, driver).
- Create control and communication systems among household staff (group chats, checklists, daily reports).
- Ensure the house is always clean, safe, and ready for use.
- Manage household needs: groceries, kitchen stock, laundry, maintenance, etc.
- Handle service bookings (technicians, AC, repairs, gardeners, etc.).
- Record household expenses and prepare simple monthly reports.
2) Personal Coordination & Communication
- Act as the main liaison between the Founder and external parties (guests, vendors, business staff).
- Manage personal schedules: meetings, medical appointments, family events, travel plans.
- Remind daily priorities and help ensure Founder's time runs efficiently.
- Prepare travel itineraries (transportation, hotel, baby needs, etc.).
- Assist with personal documents and other needs (driver's license, vehicle papers, passport, insurance, bills, school needs, etc.).
3) Light Business Support
- Help coordinate internal meetings, prepare agendas, and simple follow-ups.
- Conduct light research to support ideas (product, campaign, or project brainstorming).
- Manage communication or scheduling with the business team when the Founder is occupied.
- Prepare reminders, notes, and summaries of important messages.
4) Trust & Professionalism
- Maintain strict confidentiality of family and business matters.
- Remain calm, polite, and highly proactive.
- Understand and keep boundaries.
- Willing to learn new things and adapt to the Founder's fast-paced rhythm.
Requirements :
- Minimum education: D3 in Secretarial Studies or related field.
- Minimum 2 years of experience as a Personal Assistant, House Manager, or Executive Admin.
- Fluent in English (spoken and written).
- Highly organized, detail-oriented, and able to multitask.
- Strong communication and interpersonal skills.
- Proficient in using basic tools (Google Calendar, WhatsApp Group, Notion/Sheets, etc.).
- Able to make small decisions wisely without waiting for instructions.
- Willing to be on standby for urgent needs, including during weekends or holidays (online).
- Not engaged in any online loans, gambling, or pay-later obligations.
Preferably:
- Able to drive car (SIM A holder).
- Understands family work ethics.
- Familiar with startup or founder-style working environments.
- Residing in Gading Serpong or surrounding areas.
