Role Overview
The Reservation Communication Officer is responsible for handling all guest and client communication related to bookings, inquiries, and daily coordination between our operations and sales teams. The role ensures smooth communication flow, professional service standards, and accurate documentation of all reservations across Apex Property Management's villas and apartments.
Key Responsibilities
Guest & Client Communication
- Respond promptly and professionally to all guest inquiries via WhatsApp, email, and booking platforms (Airbnb, , etc.).
- Confirm reservations, send check-in details, and coordinate special guest requests.
- Maintain daily contact with current guests to ensure satisfaction and resolve any issues quickly.
- Communicate clearly with owners and clients regarding booking status, payments, and guest feedback.
- Be available to handle urgent guest or client messages online after regular working hours.
Daily Coordination
- Update internal booking calendars and communicate with operations for arrivals, departures, and turnovers.
- Prepare and share daily arrival and departure lists with the cleaning and technical teams.
- Follow up on maintenance and housekeeping requests to ensure completion before check-in.
- Report any guest complaints or issues directly to the Operations Manager.
Reporting & Administration
- Record all guest communication and booking changes in or designated management systems.
- Support the accounting team with accurate booking revenue and deposit tracking.
- Provide daily updates to management on occupancy and guest satisfaction levels.
Requirements
- Excellent written and verbal communication in English and Indonesian.
- Experience in hospitality or guest relations preferred.
- Professional, polite, and problem-solving attitude.
- Basic understanding of online booking platforms (Airbnb, ).
- Availability for flexible shifts, including weekends or evenings when needed.
- Ability to work online after hours when required.
