Job Role:

The Permit & Real Estate Assistant supports corporate and project-related activities by assisting with permit applications, property documentation, and real estate coordination. This role is administrative and coordination-focused, requiring strong organization, accuracy, and follow-through.

Unlike sales or operational roles, this position focuses on documentation integrity, compliance support, and coordination with external parties such as landlords, government offices, notaries, and contractors. It is ideal for candidates who are detail-oriented, structured, and comfortable handling multiple administrative processes simultaneously.

Key Responsibilities:

  • Permits & Government Documentation
  • Assist in preparing and submitting permit applications and government filings.
  • Support the collection, tracking, and organization of permit-related documents.
  • Coordinate follow-ups with relevant government offices as required.
  • Real Estate & Property Administration
  • Maintain and manage real estate documentation, including lease agreements, permits, and related records.
  • Track property-related schedules, renewals, and documentation deadlines.
  • Support coordination with landlords, building management, notaries, and contractors.
  • Administrative & Coordination Support
  • Handle filing, document control, and record-keeping for property and permit matters.
  • Support senior management with administrative tasks related to real estate and facilities.
  • Ensure documentation is well-organized, up-to-date, and easily accessible.

Candidate Requirements:

  • Education: Diploma or Bachelor's Degree in any field.
  • Experience:
  • At least 2 years of experience in administration, permits, property coordination, or real estate support, in the recent or current role.
  • Technical & Professional Competencies:
  • Strong administrative and documentation management skills.
  • Familiarity with basic permit processes or real estate administration.
  • Comfortable coordinating with multiple external parties.
  • Personal Qualities:
  • Highly organized, detail-oriented, and reliable.
  • Proactive and able to follow up tasks independently.
  • Professional and courteous when dealing with external stakeholders.
  • Language: Language: English (professional business level to understand technical terms and to communicate with stakeholders).
