Tujuan Jabatan

Menjamin kelancaran seluruh kegiatan operasional dan administratif Gedung The CEO, termasuk pengelolaan dokumen legal, hubungan dengan pihak eksternal (vendor, instansi, tenant), serta mendukung kegiatan HR dan marketing agar seluruh fungsi gedung berjalan efektif, efisien, dan sesuai ketentuan hukum yang berlaku.

Tanggung Jawab Utama

1. Operasional Gedung

  • Memantau kegiatan operasional harian gedung (kebersihan, keamanan, parkir, utilitas, fasilitas umum, perawatan).
  • Berkoordinasi dengan tim engineering, security, cleaning service, dan pihak ketiga terkait pemeliharaan fasilitas.
  • Membantu pembuatan dan pelaporan jadwal maintenance, daftar inventaris, dan log book operasional.
  • Memastikan pengadaan barang/jasa dilakukan sesuai kebutuhan dan anggaran.

2. Administrasi & Legal

  • Mengelola dokumen legal gedung (IMB, SLF, izin lingkungan, kontrak kerja sama, PBB, pajak reklame, asuransi, perjanjian vendor, dll).
  • Memastikan semua dokumen legal dan perizinan aktif serta tersimpan dengan rapi.
  • Menyusun draft perjanjian sewa, kontrak vendor, atau dokumen administrasi hukum lainnya untuk review manajemen atau legal internal.
  • Mengkoordinasikan kebutuhan legal dengan notaris, pengacara, atau instansi pemerintah (BPN, Pemda, PLN, Dinas Lingkungan Hidup, dll).

3. Hubungan Eksternal (Stakeholder Coordination)

  • Menjadi penghubung antara manajemen Gedung CEO dan pihak eksternal seperti vendor, instansi pemerintah, tenant, dan kontraktor.
  • Menangani administrasi kerja sama dengan pihak ketiga.
  • Menindaklanjuti keluhan tenant atau permintaan dokumen dari stakeholder eksternal.

4. HR & Administrasi Internal

  • Membantu proses administrasi SDM (absensi, cuti, lembur, payroll support, kontrak karyawan, BPJS, dan lain-lain).
  • Mengarsipkan dokumen HR dan memastikan kepatuhan terhadap kebijakan perusahaan.
  • Membantu rekrutmen karyawan operasional (teknisi, cleaning, security) bila diperlukan.

5. Dukungan untuk Tim Sales & Marketing

  • Membantu menyiapkan dokumen kontrak sewa tenant, surat penawaran, dan administrasi tenant baru.
  • Menyusun dan memperbarui data tenant, harga sewa, dan status ruang.
  • Mendukung tim marketing dalam kegiatan promosi (event gedung, dokumentasi, administrasi penawaran).

6. Pelaporan & Dokumentasi

  • Membuat laporan mingguan dan bulanan tentang kegiatan operasional, legal, dan administrasi.
  • Menyimpan seluruh dokumen digital dan fisik secara terstruktur.
  • Menyediakan laporan dukungan untuk audit internal atau eksternal.

Kualifikasi

  • Pendidikan minimal S1 (Administrasi, Hukum, Manajemen, atau bidang terkait).
  • Pengalaman minimal 2–3 tahun di bidang General Affairs / Office Administration / Property Management.
  • Memahami dasar hukum perjanjian, perizinan gedung, dan administrasi legal.
  • Mahir menggunakan Microsoft Office (Word, Excel, PowerPoint) dan sistem filing digital.
  • Komunikatif, rapi, teliti, dan memiliki kemampuan koordinasi lintas departemen.
  • Mampu bekerja mandiri dan terbiasa dengan lingkungan kerja yang dinamis.

Nilai Tambah (Plus Point)

  • Berpengalaman di bidang properti, real estate, atau building management.
  • Pernah menangani dokumen legal perizinan (IMB, SLF, OSS, pajak).
  • Mampu bernegosiasi dan membangun relasi dengan vendor/instansi pemerintah.
  • Dapat membantu pembuatan dokumen kontrak dasar (penawaran, MoU, perjanjian sewa).
