The Office Admin & Front Office is responsible for ensuring smooth day-to-day operations of the office and maintaining a professional, welcoming environment for both employees and guests. This role manages building facilities, supplies, housekeeping staff, and front-desk activities to support efficient office operations and uphold company standards.

Bali (on-site, Monday to Friday)

Key Responsibilities:

  1. Office & Building Administration

  2. Manage and monitor building supplies, including coffee, tea, and drinking water.

  3. Handle monthly operational payments such as internet, electricity, and water bills.

  4. Coordinate with vendors and service providers to ensure timely maintenance and payment.

  5. Building Manpower Management

  6. Supervise housekeeping staff and gardeners, including job descriptions, work schedules, and payroll coordination.

  7. Ensure all support staff maintain cleanliness, order, and proper upkeep of the premises.

  8. Building Maintenance

  9. Oversee maintenance of all building facilities, including air conditioning, electronics, and plumbing systems.

  10. Schedule regular inspections and coordinate repairs or servicing when necessary.

  11. Liaison with Building Owner

  12. Act as the main point of contact (PIC) between KLS and the building owner/management.

  13. Maintain good relationships with property stakeholders.

  14. Handle rental payments, building documentation, and correspondence.

  15. Office Cleanliness & SOP Implementation

  16. Assist in maintaining overall cleanliness and organization of the office environment.

  17. Develop and implement Standard Operating Procedures (SOP) or house rules related to office cleanliness and staff conduct.

  18. Front Office & Reception Duties

  19. Serve as the first point of contact for visitors and guests.

  20. Greet and assist walk-in guests; provide hospitality (offering drinks, etc.) and ensure a positive visitor experience.

  21. Direct visitors to the appropriate person or department.

  22. Meeting Room & Facility Management

  23. Maintain and coordinate meeting room schedules.

  24. Ensure meeting rooms are clean, equipped, and prepared for use.

Qualifications:

  • Currently based in Bali or willing to relocate.
  • Excellent communication, interpersonal, and organizational skills.
  • Detail-oriented, professional, and able to handle confidential matters responsibly.
