The Project Maintenance Admin is responsible for providing administrative support for all maintenance-related projects and tasks across managed properties. This role acts as a central coordinator between the maintenance team, vendors, and management to ensure that maintenance work is scheduled, documented, and completed efficiently and on time.

Key Responsibilities:

Documentation & Reporting

  • Update the project data on the Lark database
  • Report the Engineering Ticket in Breezeway from each area (Canggu, South, Ubud) on each type of repair (general repair, AC Maintenance, Water Heater Cleaning, Water Tank Cleaning) on a daily basis
  • Report the Daily Progress from the maintenance team that includes : emergency repair, quotations sent, completed maintenance report sent, and quotations in progress, on a daily basis
  • Report the Emergency Ticket from Engineering team and Emergency Repair from Maintenance team each weekend
  • Report KPI (project profit) every week
  • Collect, sort, and process the Engineering Ticket data on Breezeway, on a monthly basis

Payment

  • Request the creation of invoices and maintenance-related billing with the accounting department
  • Process the payment to vendor that is related to maintenance project with accounting department
  • Process outsourcing work data from vendor to process the payment with accounting department
  • Process the pool treatment payment to vendor on a monthly basis
  • Process the pump rental billing on a monthly basis
  • Update the economic unit of Project & Maintenance - Cost Detail

Supporting Task

  • Schedule the projects and set reminders for the maintenance team and vendors
  • Regularly check the CCTV on each villa through the respective apps
  • Input communication data for owners on Intercom tickets and send it to the account manager
  • Schedule the Engineering team emergency Person In Charge (PIC) on weekly basis
  • Support any ad-hoc administrative task if required
