Branch (Nalia villas) is seeking a dedicated and detail-oriented
Administrative Officer
to join our team in
Lombok
. The Administrative Officer is responsible for ensuring smooth daily operations of the office by providing administrative, clerical, and organizational support to management and staff. This role requires strong communication skills, attention to detail, and the ability to handle multiple tasks efficiently. The Admin Officer plays a key part in maintaining office productivity, coordinating internal processes, and supporting company operations.
Key Responsibilities
1.
General Administrative Duties
- Manage day-to-day office operations and ensure a clean, organized work environment.
- Handle incoming and outgoing calls, emails, and correspondence.
- Maintain filing systems (digital and physical), ensuring all documents are labelled and stored properly.
- Prepare and edit letters, reports, presentations, meeting minutes, and other documents.
- Schedule and coordinate meetings, appointments, and travel arrangements.

Office & Operational Support
- Monitor and maintain office supplies; prepare purchase requests when needed.
- Manage office equipment and coordinate repairs or maintenance.
- Support HR tasks such as staff attendance tracking, onboarding document preparation, and updating employee records.
- Assist in procurement activities including vendor communication, quotation comparison, and purchase order preparation.

Finance & Document Administration
- Prepare and process invoices, receipts, petty cash, reimbursements, and basic bookkeeping tasks.
- Support finance teams with monthly reporting or document collection.
- Ensure all company documents (contracts, permits, licenses) are up to date, organized, and properly archived.

Communication & Coordination
- Act as a liaison between departments, clients, vendors, and management.
- Manage company emails and calendars, ensuring timely communication.
- Coordinate logistics for meetings, events, or internal activities.
5.
Compliance & Data Management
- Ensure company data is secure and confidential.
- Maintain organized records for audits or compliance requirements.
- Implement administrative policies and improve internal workflows when necessary.
Job Requirements
Education & Experience
- Bachelor's or master's degree in business administration, Management, or related field (preferred).

At least 5 years of administrative experience
in the construction industry, with hands-on involvement in site coordination, documentation, and project support activities
- Proficient in Microsoft Office (Word, Excel, PowerPoint), email, OneDrive, and Google Workspace
- Professional English language proficiency (spoken and written) is required.
Technical Skills
- Strong proficiency in MS Excel for reports, tracking sheets, and data entry.
- Familiarity with CRM, ERP, or project management tools (bonus).
- Comfortable with document formatting, basic accounting tasks, and digital filing systems.
Soft Skills
- Excellent communication skills.
- Strong organizational and time-management abilities.
- Ability to multitask and work under pressure.
