Job Description

  1. Manage office operational needs, including office supplies, work equipment, facilities, and company asset maintenance.
  2. Handle administration of operational vehicles (vehicle registration, servicing, insurance, usage schedules, and expense reports).
  3. Oversee office cleanliness, security, and workplace comfort.
  4. Coordinate and negotiate with vendors or third parties (e.g., building management, cleaning services, catering, transportation providers, etc.).
  5. Prepare regular reports on office operational expenses and procurement.
  6. Assist in translating documents or internal communications in Mandarin when required.
  7. Arrange business trips for employees, including ticket bookings, accommodations, and other logistical needs.
  8. Manage and support company activities such as meetings, internal events, and onboarding needs for new employees.
  9. Coordinate with HR and Accounting departments regarding general administration and operational expenses.
  10. Ensure all office facilities and equipment are in good condition and ready for use.

Requirements

  1. Minimum education D3/S1 in Administration, Management, or related fields.
  2. Minimum 1–2 years of experience in General Affairs (fresh graduates are welcome to apply).
  3. Good communication skills, detail-oriented, and responsible.
  4. Proficiency in Mandarin (spoken and written) at least intermediate level — preferably able to coordinate directly with counterparts from China.
  5. Proficient in Microsoft Office (Excel, Word, PowerPoint).
  6. Able to work independently or as part of a team, with strong initiative.
  7. Having a valid driving license (SIM A/C) is an advantage.
  8. Willing to travel for business purposes when required.
