Junior Personal Assistant to Chief Executive Officer

Duties and Responsibilities will include but not be limited to:

  • Provide daily administrative and operational support to the Senior Personal Assistant, assisting in tasks related to the CEO's schedule and activities.
  • Support in arranging and confirming appointments for business meetings, dining reservations, accommodation, travel arrangements, and other related bookings as instructed.
  • Assist in preparing and organizing a variety of administrative documents (such as travel itineraries, payment documents, and filing).
  • Help monitor and manage incoming phone calls, emails, and other communication channels as directed by the Senior Personal Assistant.
  • Conduct research and gather trustworthy information (for example, new restaurants, hotels, or products) to support reports or recommendations requested by the Senior Personal Assistant.
  • Assist in greeting and supporting guests visiting the CEO for meetings or events, ensuring smooth coordination.
  • Perform other administrative and coordination duties as may be delegated by the Senior Personal Assistant or CEO.
  • Follow up on tasks or minor requests that may come directly from the CEO or users, while ensuring alignment and reporting to the Senior Personal Assistant.

Requirements:
  • Minimum Bachelor (S1) Degree in Secretary / Business Administration / Marketing / Public Relations or equivalent.
  • Ability to follow detailed instructions clearly, accurately, and within strict timelines.
  • Strong communication and coordination skills with all levels, both internally and externally.
  • Highly organized, proactive, and adaptable to various administrative tasks.
  • Able to work independently when required but always in coordination with the Senior Personal Assistant.
  • Capable of working under pressure, maintaining enthusiasm, professionalism, and confidentiality.
  • Experience or knowledge in preparing travel documents and handling administrative files will be an advantage.
  • Familiarity with domestic and international online marketplace platforms is a plus.
  • Willing to work beyond regular office hours if necessary.
  • Excellent written and verbal communication skills in English are mandatory.
