Job Description — Finance AP (Accounts Payable)

Responsibilities

  • Receive, review, and record vendor invoices (raw materials, operations, assets, and services).

  • Match and verify invoices against Purchase Orders (PO) and delivery notes.

  • Prepare and maintain payment schedules (weekly/monthly) based on due dates and priority.

  • Process payments via bank transfer, cash, or e-wallet based on approved requests.

  • Monitor and update Accounts Payable records per vendor and per outlet.

  • Ensure complete documentation (invoice, PO, delivery note, proof of payment) and proper filing for easy tracking.

  • Reconcile Accounts Payable with the General Ledger (GL) and follow up on any discrepancies.

  • Coordinate closely with Purchasing, Warehouse, and Outlet Operations regarding documentation and transaction status.

-Support AR activities when needed, including issuing sales invoices and ensuring billing documentation is complete.

-Monitor receivables and assist with follow-ups on overdue payments.

-Record incoming payments and support basic AR reconciliation/reporting.

Requirements

  • Minimum Diploma/Bachelor's degree in Accounting, Finance, Business, or related fields.

  • At least 1 year of experience in Finance/Accounting (preferably handling Accounts Payable). Fresh graduates may be considered if strong in administration and Excel.

  • Experience in the F&B industry (restaurant/retail food/coffeshop) is preferred.

  • Solid understanding of invoice PO delivery note workflow and vendor payment processes.

  • Proficient in MS Excel/Google Sheets (data recap, basic formulas; Pivot/VLOOKUP is a plus).

  • Detail-oriented, well-organized, and able to meet deadlines.

  • Strong communication skills and comfortable coordinating across departments/outlets.

  • Experience using accounting software/ERP (e.g., ESB) is a plus.
