Position Overview

The Procurement Support Specialist is responsible for coordinating and executing local procurement support activities in Indonesia. This role focuses on contract management, payment follow-up, delivery coordination, and daily procurement support to ensure smooth and efficient supply chain operations. The position requires strong Chinese communication skills and proficiency in office software to support effective internal and external coordination and information alignment.

Key Responsibilities

Contract Management:

Assist the Procurement Manager in contract drafting, review, filing, signing processes, and follow up on contract execution.

Payment Follow-up:

Track procurement order payments, coordinate with the Finance team to ensure timely payments, handle supplier payment inquiries, and ensure accurate and clear financial records.

Delivery & Arrival Coordination:

Monitor order execution status, maintain communication with suppliers and logistics teams to ensure on-time delivery; coordinate with warehouse or receiving teams to handle goods receipt, inspection, and exception management.

Documentation & Data Management:

Maintain procurement-related documents, order records, and databases to ensure accuracy and traceability; assist in preparing procurement reports and progress updates to support team decision-making.

Cross-functional Collaboration:

Act as the local support contact, working closely with the Procurement Manager, Finance, Logistics, and Demand/Business teams to resolve process-related issues.

Qualifications

Language Skills:

Fluent in Chinese (listening, speaking, reading, and writing) and able to communicate effectively with Chinese colleagues and suppliers. Native Indonesian speaker with strong local business communication skills.

Technical Skills:

Proficient in Microsoft Office (Word, Excel, PowerPoint), capable of independent data handling and report preparation. Basic business writing skills, including contract and email correspondence.

Experience:

At least 1 year of work experience in procurement, administration, logistics, or related fields. Experience supporting multinational or Chinese-funded companies is preferred.

Other Requirements:

Strong communication and coordination skills, detail-oriented, responsible, able to work under pressure, service-minded, and proactive in identifying and driving solutions to problems.
