We are looking for a detail-oriented and proactive Operations Specialist to oversee the day-to-day operational functions of our clinics and home service teams. This role plays a key part in ensuring smooth operations amongst amongst the telesales team, therapists, clinic consultants, and other relevant support functions.

Key Responsibilities

1. Daily Operations Management


• Oversee and coordinate daily clinic and home-service operations


• Ensure smooth workflow across therapists, clinic consultants, and administrative staff


• Support outlet operations and resolve operational issues promptly

2. Staff Rostering & Leave Management


• Plan and manage staff schedules for clinic and home service teams


• Track and administer staff leave, ensuring adequate coverage at all times

3. Payroll & Claims Administration


• Prepare and submit payroll inputs accurately and on time


• Manage transport fee reimbursements for home service staff

4. Hiring & Onboarding


• Coordinate hiring processes for outlet staff (physiotherapists, clinic consultants, and support staff)


• Manage onboarding processes, including documentation, orientation, and initial training coordination

5. Customer Feedback & Complaint Handling


• Handle patient feedback and complaints professionally and work with relevant teams to investigate issues and implement improvements

6. POS & Administrative Management


• Manage POS systems and ensure accurate transaction records


• Support basic reporting, documentation, and operational tracking

Requirements & Qualifications


• Diploma or Bachelor's degree in Business Administration, Operations Management, Healthcare Management, or a related field


• Previous experience in operations, clinic management, or healthcare administration is preferred


• Strong organizational and time-management skills


• Good communication and interpersonal skills


• Comfortable working in a fast-paced, service-oriented environment

Preferred Skills


• Experience in healthcare or physiotherapy clinic operations


• Familiarity with payroll processes and staff scheduling systems
