Role Summary:
Provide administrative support to Sustainability Department, noting the need to manage documentation, support knowledge management process including the repository of documentation of the various partners/advisors to the Department as well as arranging internal and external meetings held by the Department and its external advisory bodies, and support contracts and payments with key advisors and partners.

**Responsibilities**:
1. Procurement and Contract Monitoring
- Prepare and monitor invoices of Department’s engagement with Partners and/or Advisors, and reconcile expense report.
- Managing contracts and other legal documents - working closely with legal team to create contracts per procedure and manage contract repository of Partners and/or Advisors

2. Budget Assistance
- Coordinate Annual Budget preparation with Department team members and monitoring of expenses.

3. Logistical Support
- Arrange logístical requirements to support program activities of Sustainability Departments (Corporate Visit, SAC Meetings and Stakeholder Forum, IPEWG Meeting, etc)

4. Record Keeping and Knowledge Management
- Facilitate and support Department meetings, including documentation and record keeping.
- Develop and maintain a filing system aligning with knowledge management Maintain Sustainability events calendar

**Requirements**:
To be successful in this role, it is recommended that you should have the following skills and qualifications:
1 year minimum

Office level setting; Business Administration post
- Understanding in Sustainability a plus
- Strong administrative writing skills
- Reporting Skills
- Proficiency in MS Office
- Ability to multitask and prioritize projects
- Analytical skill and attention to detail
- Communication Skills for interaction with Internal and External Stakeholder
- Ability to work in teams
- Professionalism
- Customer-Service Oriented
