Job Description
Turner & Townsend Indonesia has grown significantly in the last year and that growth is expected to continue after a string of recent project wins. This creates the opportunity for 2 Project Administrators to act as a comprehensive administrative support to the Project or Cost Management team as led by the Director, Project/Cost Management and the Business Support Manager. This role will support the team in project administrative tasks, team corporate compliance as well as client travel requirement given the easing of restrictions in the country
Qualifications
**Project or Cost Management Team Support**
- Provide comprehensive administrative support to the PM/CM team as directed by the Director, Project/Cost Management and Business Support Manager
- Preparing and compile documents when/as required ensuring that they in compliance to Turner & Townsend’s corporate standards
- Arrange all interstate and overseas travel as required by the team including obtaining all necessary approvals and travel booking of flights, ground transport and accommodation in compliance with the Turner & Townsend’s Travel Policy
- Arrange all professional training, affiliation, certification and team events for the PM/CM team
**Database maintenance**
- Input New Lead forms in the Contacts & Marketing Database (CMD)
- Input New Project forms in the Finance Management System (FMS)
- Track the PM/CM team’s timesheet compliance ensuring timesheets are logged in a timely manner
- Maintain a project travel register for each project requiring travel
- Maintain a database of CVs supporting the team in regular updates and converting them to Turner & Townsend’s corporate standards
- Maintain a database of project case study supporting the team in regular updates and converting them to Turner & Townsend’s corporate standards
- Maintain a database of team’s experience, qualifications and professional registration/affiliations.
- Maintain a leave register for the team tracking annual and personal leave
- Maintain the filing system on the server and on OneDrive ensuring compliance to the Turner & Townsend’s corporate standards
Additional Information
- Bachelor’s Degree or equivalent
- Minimum 3 years' experience in Professional Services, Consultancy or Construction firms
- Experience in Administrative roles essential.
- Excellent technical experience and competency with Microsoft Office suite preferred
- ** Fluent in written and spoken English**:
- Team player with excellent organisation and problem solving skills
- Excellent communication skills with the ability to influence and persuade others
