Facilities Assistant/ Office Manager

**General Administrative Duties**
- Flight and hotel bookings for both employees and vendors (where applicable)
- Travel requests to Hogarth - not sure what this entails
- Submission of petty cash requests to the Finance Team and reconciliation of production petty cash
- Opening of PO number
- New vendor creation
- Tracking and maintaining leave and time off records
- Opening of job numbers in FIDO and Adept
- Arrange for courier services
- Coordinate usage of production suites
- Maintaining office supplies and ensuring the work environment is clean and pleasant
- Liaison between the 3 offices as and when required
- Perform other job-related duties as assigned
**Hospitality across Hogarth Offices**
- First point of contact as the receptionist, fronting all visitors both internal and external
- Ensure clients are well attended to when they visit the office e.g. serving of drinks and snacks and ensuring the meeting rooms are set up properly prior to the meetings
- Organising office events and parties
**Requirements**:
- Proven experience as an administrative assistant
- Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
- Excellent time management skills and the ability to prioritize work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organizational skills with the ability to multi-task
- High level of initiative to be proactive
