**Job Title**: Events & Catering Manager
**Position Summary**:The Events & Catering Manager is responsible for overseeing the planning, coordination, and execution of catered events. This role involves managing logistics, scheduling, staffing, and communication to ensure each event meets high standards. The manager works closely with chefs, drivers, and event staff, and serves as the primary point of contact for clients on the event day. Additionally, the Events & Catering Manager handles post-event reporting and continuous improvements to enhance the quality of service.
**Key Responsibilities**:
**Event Planning & Logistics**:
- Maintain and update event logistics in an event management sheet and ensure all details are captured accurately in the calendar.
- Prepare a comprehensive event schedule, including setup, service, and breakdown times, in a running sheet format.
- Coordinate event rosters, assigning appropriate staff to each event and setup day based on requirements.
- Communicate and confirm all event details with staff and relevant teams to ensure alignment on expectations and schedules.
**Staff Coordination & Briefing**:
- Conduct staff briefings before each event to review roles, event flow, and expectations.
- Assign specific duties to each team member, such as chefs, drivers, waitstaff, and setup crew.
- Monitor staff performance and address any issues promptly to maintain a high-quality guest experience.
**Event Day Management**:
- Arrive at the production location early to help check deliveries, equipment, and products, ensuring all items meet quality standards.
- Oversee setup, assisting where needed to ensure alignment with event plans and client expectations.
- Greet guests and act as the primary event host, managing the schedule and addressing any guest needs or last-minute changes.
- Serve as the point of contact for both guests and event staff, ensuring smooth event flow and timely service according to the running sheet.
- Troubleshoot any issues that arise during the event, such as logístical or staff-related challenges.
**Post-Event Reporting & Review**:
- Complete a post-event report, documenting successes, challenges, and areas for improvement.
- Gather feedback from staff and clients to assess performance and implement improvements for future events.
- Update inventory and logistics records to track the usage of items and identify any potential shortages.
**Catering Coordination**:
- Coordinate with the catering chef to finalize the menu and food quantities needed for each event.
- Ensure timely and accurate communication with the kitchen regarding any special dietary requests or last-minute changes.
- Oversee packing and delivery logistics, ensuring all food and catering items are organized, labeled, and packed according to plan.
**Quality & Service Standards**:
- Maintain high standards of cleanliness and order at the event site, addressing any issues to keep the venue presentable.
- Uphold the quality of food and service, ensuring that all items are served at the correct temperature and presentation.
- Conduct a final walkthrough after each event, verifying that all equipment is accounted for and that the venue is cleaned to standard.
**Additional Administrative Duties**:
- Regularly update the events calendar with upcoming bookings and deadlines.
- Monitor and manage supply inventory for events and catering, ordering items as needed to ensure adequate stock.
- Coordinate with external vendors and suppliers to confirm event-specific rentals, decorations, and other needs.
- Address any maintenance or equipment service requirements, ensuring all items are functional and ready for use.
- Sales and customer service
**Qualifications**:
- Proven experience as an Events Manager or similar role within hospitality or catering.
- Strong organizational and multitasking skills, with an eye for detail.
- Excellent communication skills for client interactions and team coordination.
**Skills Required**:
- Exceptional organizational skills for managing multiple events and logistics.
- Ability to manage time effectively, especially under tight deadlines.
- Problem-solving skills to handle unexpected challenges calmly and professionally.
- Knowledge of catering operations and food safety practices.
- Strong leadership to inspire and guide staff for smooth and successful events.
Ability to commute/relocate:
- Badung: Reliably commute or planning to relocate before starting work (preferred)
**Experience**:
- Supervisor: 4 years (required)
**Language**:
- English (required)
