With a rapidly growing team of 50+ full-time staff across multiple divisions, we are looking for an exceptional Executive Assistant to support our (2) Managing Directors and help strengthen the company’s operational backbone.

The Role

We are seeking a high-performance, highly organized Executive Assistant with strong HR operations experience, particularly in Mekari Talenta. This role is ideal for someone who thrives in a fast-paced environment, enjoys bringing structure to chaos, and is passionate about building strong internal systems that support a growing creative organization.

You will act as the right hand to leadership, ensuring smooth daily operations, disciplined follow-through, and professional communication across the company.

Key Responsibilities

Executive Support
- ⁠ ⁠Provide daily support to two Managing Directors (calendar management, follow-ups, meeting notes, priorities coordination).
- ⁠ ⁠Prepare documents, reports, and presentations as needed.
- ⁠ ⁠Ensure tasks, deadlines, and strategic initiatives are executed on schedule.
- ⁠ ⁠Act as the communication bridge between Directors and internal teams.

HR & Talenta Responsibilities
- ⁠ ⁠Manage and maintain Mekari Talenta HRIS (attendance, leave, payroll support, employee database).
- ⁠ ⁠Support recruitment (job postings, screening, scheduling interviews).
- ⁠ ⁠Assist with onboarding/offboarding processes.
- ⁠ ⁠Help track probation evaluations, performance reviews, and HR documentation.

Operational & Administrative
- ⁠ ⁠Develop and maintain workflow systems, SOPs, and internal documentation.
- ⁠ ⁠Oversee office operations and support department coordination.
- ⁠ ⁠Assist with bookkeeping tasks: invoice tracking, reimbursements, petty cash, basic accounting reports.
- ⁠ ⁠Support internal communication and company culture initiatives.

**Qualifications**:

- ⁠ ⁠Minimum 3 years experience as Executive Assistant, HR Administrator, Office Manager, or similar role.
- ⁠ ⁠*Strong experience with Talenta (Mekari)* is a MUST.
- ⁠ ⁠Excellent multi-tasking, prioritization, and time-management skills.
- ⁠ ⁠Highly organized, structured, disciplined, and reliable under pressure.
- ⁠ ⁠Strong personality with high initiative and problem-solving abilities.
- ⁠ ⁠Fluent in English and Bahasa Indonesia (written & verbal) - professional communication required.
- ⁠ ⁠Experience with bookkeeping and basic accounting (Xero/Excel preferred).
- ⁠ ⁠Familiar with workflow tools: Google Workspace, Notion, Freedcamp, etc.
