We are a well-established international company with over 21 years of global presence and 11 years of operations in Jakarta, specializing in high-end building materials.

We are currently seeking a Mandarin Speaking Personal Assistant to Director to support the Director in day-to-day executive and business operations, including coordination with sales, warehouse, and office administration teams.

Fluency in Mandarin (speaking, reading, and writing) is essential, as this role involves frequent communication with Mandarin-speaking directors, suppliers, and business partners. Strong English communication skills are also required for coordination with international stakeholders.

Key Responsibilities

Sales Administration

  1. Handle and monitor sales orders, purchase orders (PO), and related documentation to ensure accuracy and timely processing.
  2. Communicate with clients and suppliers (Mandarin & English/Indonesian) for order follow-up and documentation clarification.
  3. Coordinate with finance, logistics, and warehouse teams to ensure smooth transaction flow.

Warehouse Coordination & Stock Control

  1. Coordinate inbound and outbound warehouse activities in accordance with sales orders and delivery schedules.
  2. Assist in monitoring inventory movement and stock records between warehouse, sales, and finance.
  3. Support periodic stock opname (physical stock-taking) and reconciliation processes.
  4. Maintain and update inventory tracking spreadsheets and prepare stock-related reports.
Requirements
  1. Minimum Bachelor's degree in Administration, Business, Human Resources, Marketing, or a related field.
  2. Fluent in Mandarin (speaking, reading, writing) and English is mandatory.
  3. Minimum 3 years of relevant experience as a Personal Assistant, Executive Assistant, Sales Administrator, or similar role.
  4. Experience in building materials, manufacturing, trading, or China-based companies is highly preferred.
  5. Strong Microsoft Excel skills, especially for data tracking and reporting.
  6. Proficient in Microsoft Office (Excel, Word, PowerPoint); Canva presentation skills are a plus.
  7. Excellent coordination, documentation, and communication skills.
  8. Highly organized, detail-oriented, proactive, and able to manage multiple tasks independently.
  9. Professional attitude with strong adaptability and teamwork skills.
  10. Preferably residing near the office area and/or having personal transportation.
