Clinic Manager

The Clinic Manager is responsible for overseeing the daily operations of the aesthetic clinic to ensure a high standard of patient care, exceptional client experience, and efficient business performance. This role requires strong leadership, excellent communication, and a solid understanding of aesthetic treatments, compliance standards, and clinic workflow.
Key Responsibilities
Operational Management
- Oversee the daily operations of the clinic to ensure smooth, efficient, and professional service delivery.
- Develop and implement operational policies, protocols, and procedures.
- Manage appointment scheduling, patient flow, and clinic efficiency.
- Ensure the clinic environment is clean, safe, and compliant with health regulations and industry standards.
- Maintain a high level of customer service to ensure patient satisfaction and loyalty.
- Handle escalated client concerns, feedback, and conflict resolution.
- Monitor and improve the patient journey, from inquiries to post-treatment follow-ups.
- Ensure staff provide consistent, high-quality service aligned with the clinic's brand standards.
- Recruit, onboard, train, supervise, and evaluate clinic staff (nurses, therapists, receptionists, etc.).
- Create schedules and ensure adequate staffing coverage.
- Conduct performance reviews and staff development activities.
- Promote a positive, collaborative, and high-performing work environment.
- Monitor clinic budgets, revenue, expenses, and financial performance.
- Assist with pricing strategies, promotions, and service packages.
- Oversee inventory management, including medical supplies, skincare products, and equipment.
- Generate operational and financial reports for leadership/owners.
- Ensure the clinic complies with local regulations, licensing requirements, and medical safety standards.
- Maintain accurate records—including patient files, treatment records, and inventory logs.
- Ensure all equipment is serviced, calibrated, and functioning safely.
- Implement health and safety protocols for staff and patients.
- Collaborate with marketing teams or external partners to promote clinic services.
- Support social media content planning, campaigns, and promotions.
- Track lead generation, conversion rates, and customer retention metrics.
- Participate in planning events, open houses, and partnerships to grow the business.
Qualifications & Skills
Required
- Proven experience as a Clinic Manager, Spa Manager, Practice Manager, or similar role in healthcare or aesthetics.
- Strong leadership, organizational, and multitasking abilities.
- Excellent customer service and communication skills.
- Understanding of aesthetic treatments (e.g., laser, injectables, skincare) and clinic flow.
- Proficiency in clinic management software and MS Office tools.
- Background in aesthetics, dermatology, cosmetic nursing, or medical spa environments.
- Knowledge of health regulations, patient privacy laws, and clinic compliance.
- Business management or marketing experience.
