Job Overview:

We are seeking a highly organized and detail-oriented Administrative Accounting Assistant to support our accounting department. This role involves performing general administrative tasks, maintaining financial records, assisting with account reconciliations, processing invoices, and helping with other accounting-related functions. The ideal candidate will have a strong understanding of basic accounting principles, excellent communication skills, and a passion for supporting the smooth operation of the finance team.

Key Responsibilities:

  • Accounts Payable & Receivable Support:

  • Assist with processing invoices, ensuring accuracy, and maintaining records.

  • Help track and manage accounts receivable, ensuring timely collections and follow-up on overdue accounts.
  • Prepare and distribute statements to clients/vendors as needed.
  • General Accounting Support:

  • Assist in the preparation and maintenance of financial reports, including balance sheets, income statements, and monthly reports.

  • Support the accounting team with account reconciliations, ensuring accuracy in financial data.
  • Aid in managing petty cash and updating financial records as required.
  • Administrative Duties:

  • Maintain and organize financial documentation and records for easy access and future reference.

  • Handle incoming phone calls, emails, and other correspondence related to finance and accounting matters.
  • Coordinate schedules, meetings, and deadlines for the accounting department.
  • Data Entry & Record Maintenance:

  • Perform accurate data entry of financial transactions into accounting software or spreadsheets.

  • Ensure that all accounting records are updated regularly and are in compliance with company policies and procedures.
  • Reporting and Analysis:

  • Assist in preparing month-end and year-end reports, ensuring deadlines are met.

  • Provide administrative support for financial audits and assist auditors as needed.
  • Compliance & Filing:

  • Ensure that all accounting procedures are in compliance with applicable laws and regulations.

  • Assist in filing tax documents, including sales tax filings and other regulatory filings.
  • Ad-hoc Accounting Tasks:

  • Provide general support to the finance team for special projects, reports, and audits.

  • Assist with various accounting-related tasks as needed to ensure the department runs efficiently.

Qualifications:

  • Education:

  • Associate's degree in Accounting, Finance, or related field (preferred) or equivalent work experience.

  • Experience:

  • 1-2 years of experience in an administrative or accounting role preferred.

  • Familiarity with accounting software (QuickBooks, Xero, or similar) is a plus.
  • Skills:

  • Strong organizational and time-management skills with the ability to manage multiple tasks simultaneously.

  • Attention to detail and a high level of accuracy.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.
