Role Description
This is a full-time, on-site role located in Jakarta for a Sales Admin in the FMCG industry - Indomaret. The Sales Admin is responsible for supporting daily sales operations by managing sales administration activities accurately and efficiently, including processing data and transactions in the SAP system. This role oversees the end-to-end sales order process, prepares sales reports, maintains proper documentation, and coordinates closely with internal teams such as sales, logistics, production, and finance to ensure smooth workflows and timely fulfillment of customer requirements. The Sales Admin supports daily sales operations by managing the administration related in Commercial Function including SAP. The person will assist the team with administrative tasks such as scheduling, preparing documentation, and coordinating with other departments. This role will also involve on the project execution on the Trade Marketing initiative.
Qualifications
- Minimum Bachelor's degree in Business Administration, Management, or related field.
- Minimum 2 years of experience as a Sales Admin or in a similar administrative role.
- High proficiency in SAP system.
- Strong verbal and written communication skills in English.
- Strong organizational, interpersonal, and coordination skills.
- Good understanding of sales contracts and agreements to ensure compliance.
- Detail-oriented and able to work effectively in a fast-paced environment.
- Strong analytical and problem-solving skills.
- Ability to work independently and as part of a team.
Preferred / Advanced
- Strong administrative, reporting, and data analysis skills.
- Advanced proficiency in Microsoft Excel and database management.
- Understanding of contract management processes.
- High attention to detail and data accuracy.
- Ability to analyze sales data and provide actionable insights.
Responsibilities
- Support daily sales operations by managing administrative activities within the Commercial function, including SAP system operations.
- Enter, update, and maintain customer data, sales orders, and product information accurately in SAP.
- Ensure timely and accurate processing of sales transactions and related documentation.
- Manage the sales order process end-to-end, including quotation preparation, order processing, coordination of delivery, and invoicing.
- Prepare and generate regular sales reports and conduct data analysis using SAP and/or Distributor Systems.
- Organize, maintain, and manage sales-related documents, contracts, and administrative records systematically.
- Collaborate with internal departments such as logistics, production, finance, and controlling to ensure smooth operational workflows.
- Act as a liaison between the sales team and other departments to ensure customer needs are met effectively.
- Support project execution related to Trade Marketing initiatives.
- Prepare periodic sales performance reports and analyze trends, opportunities, and areas for improvement.
- Provide accurate data and insights to support management decision-making.
- Handle and resolve issues related to invoicing discrepancies, order processing errors, and other sales administration issues.
- Perform other administrative tasks as required to support the sales team and related departments.
