Role Purpose
The Information Specialist is responsible for ensuring the accuracy, consistency, integrity, and timeliness of company information across all internal and external systems. The role acts as the operational owner of information management, coordinating updates, maintaining standards, and ensuring that all business-critical information remains aligned across platforms, documentation, and workflows.

This position supports informed decision-making, operational efficiency, brand consistency, and compliance by maintaining a reliable and structured information environment across the organisation.

Key Responsibilities
1. Information Accuracy & Consistency

Ensure company information is accurate, current, and consistent across:

Corporate websites

E-commerce and marketplace platforms

Internal systems (ERP, CRM, inventory tools)

Product labels, documentation, and digital assets

Identify discrepancies between systems and coordinate timely corrections.

1. Information Lifecycle Management

Manage information from creation through update, version control, and archival.

Coordinate information changes with relevant departments (R&D, Marketing, Sales, Operations).

Maintain change logs and update histories for traceability.

1. Standards, Structures & Coding Systems

Develop, maintain, and enforce:

Information naming conventions

Coding and identification systems (e.g., SKUs, internal reference codes)

Attribute structures and classification rules

Ensure consistent application of standards across all systems and teams.

1. Cross-Functional Coordination

Act as the central point of coordination for information updates.

Translate technical or operational changes into structured, system-ready information.

Support product launches, revisions, and system rollouts from an information perspective.

1. Data Quality & Governance Support

Monitor information quality using defined checks and validation rules.

Support audits, reviews, and compliance requirements related to information accuracy.

Recommend process improvements to reduce duplication, errors, or inconsistencies.

1. Documentation & Knowledge Integrity

Maintain authoritative documentation related to information standards and structures.

Ensure internal references and external-facing materials remain aligned.

Support knowledge continuity during staff transitions or system changes.

Required Qualifications & Skills
Education & Experience

Bachelor's degree in Information Management, Business, Engineering, IT, or related field

1-3 years experience in information management, operations support, data coordination, or digital systems administration

Technical & Professional Skills

Strong understanding of structured data and information systems

Familiarity with ERP, CMS, e-commerce platforms, or database-driven environments

High attention to detail and strong organisational skills

Ability to manage multiple systems and stakeholders concurrently
