About the Role

We are seeking a highly capable and experienced Senior Office Manager & Villa Operations Manager to become the central operational authority of the business.

This is a senior, hands on role with primary responsibility for real estate development administration, investment operations, and business coordination.

In parallel, the role will oversee villa short & long term rental operations as a secondary growth arm of the company, with the objective of building scalable systems and standards over time.

This is not a junior, assistant, or hospitality only role. It requires maturity, accountability, strong industry understanding, and the ability to manage responsibility independently while working closely with the company founders.

Key Responsibilities

1. Office Management & Development / Investment Operations (Primary Focus)

  • Manage the day to day operations of the office and internal administration
  • Organise and maintain all project files, contracts, and official documentation
  • Coordinate AKTA related processes with notaries, legal advisors, and consultants
  • Support real estate sales and development procedures, including client documentation
  • Track payments, receipts, invoices, and follow up outstanding items
  • Maintain clear and accurate operational and financial records
  • Attend meetings, prepare notes, and ensure follow up on agreed actions
  • Coordinate communication between founders, clients, investors, suppliers, and partners
  • Ensure internal processes are structured, compliant, and professionally executed

2. Villa Short & Long Term Rental Operations (Secondary / Growth Focus)

  • Oversee short & long term rental and villa operations for client owned assets
  • Manage guest communication, bookings, and issue resolution
  • Conduct villa inspections and prepare condition reports for owners
  • Coordinate and supervise cleaners, maintenance teams, and service providers
  • Ensure high standards of presentation, quality, and guest satisfaction
  • Monitor operational performance, reviews, and service quality
  • Build systems and foundations to later manage and lead a junior villa operations team

Requirements

  • Minimum 3 years proven experience in real estate, property development, property management, or villa operations
  • Strong understanding of Indonesian real estate procedures, including AKTA processes and coordination with notaries and legal advisors
  • Experience handling contracts, official documentation, and payment follow ups
  • Strong computer and digital skills across all office functions, including document management, spreadsheets, presentations, email, and cloud based systems
  • High proficiency in office software and digital tools (e.g. Google Workspace, Microsoft Office, shared drives, task and file management systems)
  • Ability to organise, maintain, and continuously improve digital filing, reporting, and operational systems
  • Experience using social media, online advertising platforms, and digital software to support property marketing, listings, and business visibility
  • Comfortable working with property platforms, OTA dashboards, CRM systems, and advertising or marketing tools
  • Experience with Airbnb or other OTA platforms is a strong advantage
  • Fluent spoken and written English
  • Highly organised, detail oriented, and reliable, with strong follow through
  • Able to work independently and take full ownership and responsibility for operations
  • Confident communicating with clients, investors, suppliers, and external partners
  • Proactive, solutions focused, and calm under pressure
  • Long term mindset with interest in growing into a senior leadership position

Salary & Incentives

  • Monthly salary: IDR 14,000,000 – 20,000,000, based on experience and capability
  • Performance based incentives, including:

  • Monthly KPI bonus linked to operational accuracy and performance

  • Villa performance bonus based on quality, occupancy, and guest satisfaction
  • Annual bonus linked to company growth and portfolio expansion
