General Affairs / Operations Coordinator - Hybrid, SBY, ID

We are looking for a General Affairs (GA) team member who will manage day-to-day operations, support ad-hoc coordination, and take part in the company's recruitment process. This role requires someone organised, proactive, and capable of handling both operational execution and basic people management.

The GA will be trained in research operations so they understand how the team works, and will also support hiring needs, including screening candidates and conducting interviews when needed.

Work Setup:

Full-time, Hybrid (2-3x per week)

Responsibilities

  • Manage daily operational and administrative tasks across the company.
  • Prepare internal documents, schedules, trackers, and simple reports.
  • Draft and send professional emails through Mailchimp, Outlook, Gmail, (ie. including basic email setup, formatting, and scheduling).
  • Maintain internal systems, databases, and documentation.
  • Manage interns or junior team members in simple day-to-day tasks and follow-ups.
  • Handle purchasing, vendor communication, and basic procurement.
  • Manage the coordination of operational budgets and ensure proper documentation.
  • Coordinate office needs, equipment, deliveries, and hybrid setup requirements.
  • Support recruitment as needed, including posting openings, screening CVs, and interviewing candidates during active hiring periods.

Requirements

  • Based in Surabaya (preferably West Surabaya).
  • Confident in spoken English and highly proficient in professional Business English writing. (ie. C-suites, executive level communication)
  • Able to run operations independently and manage small groups when needed.
  • Proficient in email management across Outlook and Gmail, including mass mailings and mail merge workflows.
  • Skilled in scheduling and coordinating appointments through Outlook Calendar and Google Calendar.
  • Familiar with organizing and managing Zoom calls and events, including setup, invitations, and follow-ups.
  • Strong initiative, reliable, and willing to learn quickly.
  • Organized, detail-oriented, and comfortable multitasking.
  • Prior experience in operations or GA is a plus but not required.
