Executive Secretary

Performs as Executive Secretary to Chief Operation Officer for one of our Distribution company in Bogor.
**Job Description**:
1. Provides high-level administrative support and assistance to the Chief Operation Officer and/or other assigned leadership staff
2. Responsible in administrative and clerical tasks including drafting letters, memos, invoices, reports, and other documents needed
3. Arranges travel and accommodations for executives
4. Schedule and attend meeting on behalf of executive, taking Minutes of Meeting (MOM)
5. Receives incoming communication or memos on behalf of COO, reviews contents, determines importance, and summarized and/or distribute contents to appropriate staff
6. Responsible in office tasks including maintaining records, ordering supplies, and performing basic bookkeeping and filing
7. Performs additional duties as assigned by executives
8. Performs other related duties as assigned
Job Qualifications:
1. Associate/Bachelor Degree (D3/S1) in any discipline
2. Extremely Proficient in Ms Excel Formula (Vlookup, Pivot, etc) and proficient in other Ms Office
4. Have a knowledge in office administration, clerical procedures, record/bookeeping procedure
5. Good Interpersonal, Verbal and Written communication skills, ability to work well with people all levels.
6. Good negotiation skills
7. Ability to multitask and prioritize daily workload, in detail-oriented manner.
Ability to commute/relocate:
- Bogor: Reliably commute or planning to relocate before starting work (preferred)
