Key Responsibilities:
Provide leadership on the management of warehousing, logistic, fleet, office building, and event service that promote stewardship, accountability and reliability. Promote excellent internal control environment for the organization and safeguarding of asset to support to the global initiative and promote cost effectiveness and efficiencies.
Lead the development and execution of General Service (GS) and Logistic planning, forecasting, reporting for the national office; and its alignment with global standards and processes through various system, as well as the Indonesia’s statutory requirement.
Continuously evolve the planning, system and strategy toward alignment in support of measuring impact and value for money.
Strategy Development & Planning
- Support the development of national-level, long range budget & programme plans and Country Strategy and support the monitoring of its progress through regular reporting process
- Lead an integrated quarterly and annual planning process for the management of warehouse, logistic, fleet, office building maintenance and asset in all offices including zonal/AP
- Coordinate with Procurement to set up most effective supply chain through procurement planning process and logistic execution.
- Provide guideline, procedure, models and systems to get the most effective general service and logistic activities.
Resource Acquisition & Management/ Engagement
- Provide technical advice on General Services and Logistics-related aspect during the process of the initial kick-off workshop and project budgeting
- Coordinate closely with other departments to arrange the GS and logistics plan and service delivery
- Look for opportunity to build strong and strategic relation with External parties and Internal parties (NO/ National/Regional/Global) to leverage income generation.
- Facilitate and work closely with resource acquisition team providing the technical rigor and using evidence base for proposal development and project activities in the area of GS and logistic
- Ensure all grants, corporate and special funded projects have the technical support and capacity to meet the required and agreed disaster management standards.
Capacity Building/ Technical works
- Conduct capacity building plan and talent management strategy for NO and Zonal/AP team to enhance their technical and non-technical skills to support higher performance and career path.
- Lead the relevant capacity building activities to improve the knowledge of Finance, SCM/Procurement and Program team staff (national-wide staff) on Logistic Plan and Strategy
- Provide technical and advisory support to staff in using the corporate system and understanding the information, data and reports for the delivery of good programs.
- Become SMEs for Cross-Functional Grant/Disaster Management Capacity Training for Warehouse & Logistic aspect
- Coordinate the assessment and capacity building plan for local partners / Sub-Grantees in the area GS and logistics
- Provide technical advice for national team in developing general service & logistic plan, strategy and implementation
Accountability & Quality Assurance
- Manage effective and strategic GS and Logistic operations in WVI to promote cost-efficiency, higher yield to ministry and to align with partnership/donor/statutory requirement, policies and standard.
- Manage global asset verification (insurance, real estate & fleet) and coordinate with regional/global primary contact.
- Lead the GS & Logistic data management, reporting and analytics and become the strategic business partner who is responsive to organisational needs. Analyse the data & information and provide insights to key stakeholders to improve decision making
- Utilise technology to enable agile planning, streamline processes and boost operational effectiveness across the WVI and provide feedback and recommendation on system improvement
- Oversee the GS & Logistic activities for the emergency preparedness and response by coordinating with Disaster Management Team. Develop the roadmap for inventory access in disaster context. Provide insights on the logistics and warehouse management
- Support the process for financial audit/expenditure verification for projects and Yayasan and monitor the follow up actions on the audit findings
