**Job Overview**:
As a Purchasing Staff member, you will play a critical role in the procurement of supplies, equipment, and services essential for our daily operations. You will work closely with the Purchasing Manager to ensure timely and cost-effective purchasing while maintaining strong relationships with vendors and suppliers.

**Qualifications**:

- Education: A diploma or degree in Business Administration, Supply Chain Management, or a related field.
- Experience: Minimum 1-2 years of experience in procurement, purchasing, or supply chain management, preferably in a facility services or maintenance environment.
- Skills:
1. Strong negotiation and communication skills.

2. Knowledge of inventory management and procurement software.

3. Excellent organizational and multitasking abilities.

4. Ability to work under pressure and meet deadlines.

5. Proficient in Microsoft Excel

6. Attention to detail and problem-solving skills.

**Key Responsibilities**:

- Procurement: Identify and source required materials, products, and services for facility operations and ensure timely delivery.
- Vendor Management: Establish and maintain relationships with suppliers, negotiate terms, and monitor supplier performance.
- Inventory Management: Track inventory levels, place orders, and monitor stock to prevent shortages.
- Order Processing: Prepare and process purchase orders, ensuring accurate specifications and delivery times.
- Cost Control: Monitor expenses, track purchases, and implement cost-saving initiatives without compromising on quality.
- Documentation: Maintain accurate records of purchases, invoices, contracts, and supplier agreements.
- Reporting: Prepare regular purchasing reports for management, outlining expenditure, savings, and supplier performance.
- Collaboration: Coordinate with internal departments (e.g., maintenance, cleaning, operations) to fulfill their procurement needs.
