**Program Background**
- The Australia Indonesia Partnership for Justice Phase 3 (AIPJ3) is a five-year, A$63 million investment by the Australian Department of Foreign Affairs and Trade (DFAT) to work in partnership with the Government of Indonesia (GOI) to support advancement of its priority law and justice reforms. Building on previous phases, AIPJ3 will support partners to deliver activities against agreed policy priorities, while maintaining flexibility to respond to emerging needs and opportunities. The program focuses on seven policy priorities that are important to Australia and Indonesia: accountability and transparency, criminal justice reform, preventing violent extremism, transnational crime cooperation, commercial law, access to justice, and women’s leadership.

**The Role**
The Office Assistant will support AIPJ3 team in logistics and administrative aspects, maintaining office and IT equipment, archiving project document, and the day-to-day general office cleanliness task.

**About You**

**Specific Responsibilities**

**Key Activities**
- Support Program Team to undertake activities such as requirements for workshops (prepare stationery, photocopying workshop materials/agenda, etc).
- Provide part-time reception services as the office’s first point of contact to visiting guests and clients by greeting visitors and directing them to the appropriate staff member.
- Assist in preparation/packaging of office goods and documentation for and conduct deliveries if required.
- Assist Operations Team for small amount of purchasing to support the office operations, i.e. kitchen and cleaning supplies, office stationery, etc.
- Assist the Operations Team in managing the project archive including scanning and hard copy storage.
- Ensure office is accessible (unlocked) in the morning and locked safely by the end of each working day and maintaining office safety and security
- Cleaning office rooms, such as vacuuming carpet and cleaning all floors, office furniture and equipment, dusting and wiping office furniture, and cleaning the garbage.
- Cleaning kitchen / pantry, such as washing dishes and other kitchen utensils twice a day
- Serving drinks for guests.
- Support troubleshooting for office equipment and IT system, this includes liaison with IT Consultant to help remotely.
- Support for IT set up, logistics and administrative work relating to the preparation, implementation and reporting of activities and events/workshop/training.
- Maintain stringent standards in representation of children and take steps to report any identified concerns about child abuse or risks to children.
- Perform other duties as reasonably requested by authorized personnel, such as photocopying, binding documents, filling and/or archiving, etc.

**Key Deliverables**
- Office logistics, IT equipment and stationaries are maintained appropriately.
- Office and all areas are cleaned before office hour and locked after office hour.
- AIPJ3 documents are scanned and archived based on Operations team requirement.

**Selection Criteria**

**Essential Experience and Knowledge**
- Senior High School graduate with minimum 3 years experiences as Office Assistant or Helper.
- Experience in workshop logistics preparation and general administration.
- Understanding of standard supply inventory.
- Demonstrated good communications and interpersonal skills

**Desirable**
- Computer skills including Microsoft Word, Excel, Outlook.
