Key Responsibilities:

1. Client Communication & Bookings

  • Manage client bookings, cancellations, and waiting lists accurately.
  • Respond promptly to all client inquiries via WhatsApp, phone calls, Instagram, Facebook, email, and walk-ins.
  • Maintain a professional, friendly, and helpful tone in all client communications.
  • Confirm and remind clients about upcoming appointments.

2. CRM & Administrative Management

  • Update and maintain CRM system with accurate client details and booking information.
  • Record client feedback and report to management.
  • Assist in compiling daily, weekly, and monthly reception reports.

3. Coordination Between Departments

  • Communicate and coordinate efficiently between the medical team, therapists, and management to ensure seamless client flow.
  • Update relevant staff regarding last-minute changes, cancellations, or client requests.

4. Front Desk Operations

  • Greet and welcome clients warmly upon arrival.
  • Manage check-in and check-out procedures professionally.
  • Provide product and service knowledge to assist clients with questions.
  • Process payments and issue receipts accurately.
  • Ensure reception area is always clean, organized, and presentable.

Requirements

  • Minimum 2 years of experience in hospitality settings (Hotel, Wellness Facility, Spa, or Aesthetic Clinic).
  • Excellent communication skills in English.
  • Tech-savvy and confident using CRM systems, booking platforms, and social media tools.
  • Located in Bali.
  • Strong organizational and multitasking skills.
  • Professional, positive, and client-focused attitude.
