The Marketing Project Manager role focuses on marketing initiatives — including B2B product launches, collaborations, trade shows, and PR. This position manages projects from planning through execution, ensuring alignment with internal teams, vendors, and partners. While wholesale is the primary focus, this role also supports retail initiatives when required to maintain team integration and flexibility.

Responsibilities

  • Program Development & Planning

  • Lead conceptualisation and planning of wholesale marketing programs aligned with customer needs and business goals.

  • Draft and submit program briefs including goals, partner details, budgets, and resource requirements.
  • Secure approvals through Brand Manager and Head of Marketing as required.

  • Project Management & Execution

  • Manage wholesale projects end-to-end: briefing, approvals, execution, and wrap-ups.

  • Maintain project trackers, timelines, and ClickUp updates to ensure accountability.
  • Monitor deliverables to ensure scope, timeline, and budget compliance.
  • Submit creative briefs within SLA (20 working days before go-live).

  • Wholesale Events & Activations

  • Lead planning and execution of trade events, wholesale bar takeovers, training activations, and customer engagement events.

    Coordinate with Sales, Ops, Creative, and external vendors for seamless execution.

  • Ensure partner/customer satisfaction and gather post-event feedback.

  • Wholesale Partnerships & Collaborations

  • Manage wholesale co-branded campaigns, product launches, and joint activations.

    Draft proposals and secure approvals following SOP workflows.

  • Oversee asset creation with Creative, ensuring brand compliance.
  • Deliver wrap-up reports including sales uplift, reach, and partner ROI.

  • PR & Media Relations

  • Manage PR: press releases, media outreach, and trade coverage.

  • Cultivate media relationships in coffee, F&B, and trade publications.
  • Support crisis communications in partnership with the Brand Manager and Head of Marketing .
  • Ensure wholesale/partner messaging aligns with Expat. Roasters' brand voice.

  • Stakeholder & Vendor Management

  • Serve as liaison between Sales, Customer Success, Ops, and wholesale partners for marketing activations.

  • Oversee vendor negotiations, contracts, and service delivery.
  • Ensure external partners comply with Expat. Roasters' standards.

  • Reporting & Insights

  • Deliver wholesale project reports within 7 working days.

  • Track wholesale KPIs: partner ROI, sales uplift, PR/media reach.
  • Provide learnings and case studies for internal knowledge sharing.

  • Cross-Support

  • Support retail campaigns and events when requested.

  • Work closely with Sr. Marketing Communications to ensure integration between retail and wholesale initiatives.
